The Wikivibrance project has contributed immensely to young Wikimedians since inception. It has proved pivotal in bridging the gap between elderly experienced contributors and young inexperienced Wikimedians. Wikimedia contributors at the University of Ilorin campus are a testament to the effectiveness and importance of the Wikivibrance program, International Youth Day 2022. In light of previous successes of the program subsequent plans and proposals are highly welcomed, and earnestly anticipated.

WMF review and feedback

Thank you for submitting this proposal. We are very happy for this initiative and for the possibility of supporting the first ever Wikimedia Youth Conference. Thank you so much for the work and planning you have put it this proposal. I think there is a balanced level of clarity on the vision and desired focus areas, but I also acknowledge there is a certain level of ambiguity as this is the first time this community will gather to address strategic priorities.


As we started the discussions about this conference a few months ago, I already had a chance to review the drafted version of the proposals and to make comments, so I do not have a lot of comments to add. But here are just a few that I still have:

  • I understand that Wikimedia Spain will not be acting as the fiscal sponsor, and Kiwix will be the FS. So can you please explain if Wikimedia Spain will still have a role in this conference organizing? And what will be the updated roles and responsibilities of all the parties involved? (Wikivibrance; Wikimedia Spain; Wikix). Please also update the original proposal on Fluxx.
  • WMF participation - I appreciate the focus. It's great that you are clear as to the kind of outcomes your'e expecting.
  • Risks - Will you require that legal guardians will escort minors attending the conference?
  • Can I ask why did you specifically choose La Marina as the location in Spain?
  • I see you calculated 95 people on the budget, but you said you will have 105 total participants. Can you please clarify?
  • You mentioned that you will allocate scholarships considering equal regional distribution, but I see 25% will be for participants in Europe. Can you please clarify this? Also - will you be welcoming local participants as well?

1. *Wikimedia Spain*: Although Wikimedia Spain will not be our fiscal sponsor due to their staff capacity, they are going to be working with the conference COT to support the design of the conference program. They would also act as the onground representative to sign any relevant documents in the case of local partnerships like the Valencia Institute of Youth who we are expecting in-kind support in the form of accommodation for the conference. In addition, they would also support local contacts for conference participation and other minor logistics where their staff capacity permits.

  • WikiVibrance*: WikiVibrance will be the main driver of the conference from constituting a COT, Subcommittees, Scholarship criteria & selection process, liaising with different stakeholders/partners, logistics, program design, onground conference activities to communications around the conference.
  • Kiwix*: Kiwix will be responsible for receiving, disbursing and managing the conference funds.

2. *WMF participation* -

We hope to learn from WMF staff from departments that are community-faced, to share knowledge around their learnings or research about youth participation/engagement in the movement, some of the ways youth have been reflected or would like to be reflected in strategic documents or programs such as movement charter, UCOC, and community development or even how the Foundation communication efforts strategically targets young people in the movement. We will love to learn about relevant objectives that will be useful for us to plug in to the work we are doing, and the kind of support we could seek or get working on youth related matters in the movement. Beyond this, we would really love to have WMF staff from community programs particularly those with a focus on Wikisource to share their knowledge about the project, some of the work done and skills needed to contribute.

3. *Risks*-

This will depend on where the capacity to do this is available. We hope to get WMF support and recommendations on this. We hope to explore the possibility of a community leader overseeing a youth group to act in this role where possible.

4. We decided to choose La Marina in Alicante Spain because of the significant in-kind support offer we received from Valencia Institute of Youth, which provides for entirely free accomodation for 90-100 conference participants.

5. We hope to welcome local participants who might not need a scholarship to attend but happy to attend as well as WMF staff whose work might be relevant to our objectives. Hence, we gave accommodation for an extra 10 people aside the 90 scholarships we hope to make. The remaining 5 is for the staff from WMF which has been earlier explained in terms of roles to be carried out.

6. We will be welcoming local participants. We intend to consider equal regional representation in the scholarships. And this will be easily ascertained from the number of regions we will receive scholarship applications once a call is made. This is the easy part. But the tricky part is that because we don't know how many regions that will apply in the moment, it is difficult to make these statistics now. But we would need to make a budget that reflects the numbers and we are not sure how it works to assign the exact amount of cost to everyone when we know that it should cost less for participants from Europe. So we made a temporary number at this stage of the application that might change depending on the regional scholarship applicants we will receive. We are also open to your thoughts here on how to best work around it.
