Project Goal

Briefly explain what are you trying to accomplish with this project, or what do you expect will change as a result of this grant. Example goals include, "recruit new editors", "add high quality content", or "train existing editors on a specific skill".

The main goal of this project of this project is to meet the needs that are emerging in Portugal, specifically in Lisbon, around the open knowledge and the increasing interest of the institutions in the possibili/ities they have to contribute and support the open knowledge and the open science.

After the analysis of this situation I decided to contact with the Fundação Oriente (FO) and the Biblioteca Nacional de Portugal (BNP) because we, me and Wikimedia Portugal (WMPT), knew these institutions are interested in the learning of skills and techniques that make themselves able to contribute in a better way to the Wikimedia projects. After some meetings with Helena Patrício, Special Collections Service Director in the BNP, and the team of the FO, we reach the conclusion that it would be very interested to perform a project with both institutions involving a Wikimedian in Residence.

In the BNP the project will be part of the digital area of the library, specifically to the one which offer the special collections, the area directed by Helena Patrício as it was mentioned in the last paragraph. In the case of the FO there are two areas in which the project will be developed, the museum and the documentation center.

I thought to propose this rapid grant as a pilot project to show to these institutions the potential of a collaboration of them with the Wikimedia projects and how useful is to have a Wikimedian in Residence to help with all the stuff related with the open knowledge and the Wikimedia projects. Both institutions, specially the FO, are interested in funding the project if the pilot works as we expect, so this rapid grant might be an opportunity to build a strong relationship with these institutions. In addition, it will help to demonstrate to another Portuguese institutions the potential of the figure of a Wikimedian in Residence. I have consulted WMPT about this, and I have the association's full support.

Activities

Tell us how you'll carry out your project. What will you and other organizers spend your time doing?

The project will be divided in two main parts: training and activities. Both parts might be mixed in the sense that one activity might be part of the training. It is also important to consider the involvement of the two institutions, because both are interested and they want to collaborate between them because they have interests and documents in common. But there will be, mainly in the training part, different activities for each one (e. g., the FO is more interested in working directly in Wikidata, while the BNP is very interested in building its own Wikibase installation).

In the next lists if the item has squared brackets with the abbreviation of the institution (BNP, FO) or it is only mentioned one of the institutions it means that this one is designed to be performed in the indicated institution, for the activities in which the both institutions will be involved, collaboratively or not, there isn't an abbreviation indication between parenthesis.

Training

• [BNP] Installation, configuration and usage of Wikibase of the interested ones, or those indicated by the institution.
• Usage of Wikidata by librarians and documentalists. This will involve:

• Introduction to Wikidata and useful tools as a literacy workshop.
• Teach them how Wikidata works, its data model (specifically for the scope they have) and what kind of data can be exported due to technical and copyright reasons.
• Wikidata, SPARQL and the Wikidata Query Service (WDQS) and Listeria: what is, what is it and basic queries to learn the potential of the WDQS and Listeria.
• How to contribute to Wikidata from their own catalogs. Usage of tools like OpenRefine, QuickStatements and Mix'n'match
• SPARQL, WDQS and Listeria: write their own queries, export the data to reuse it (in Wikidata or not) and create dynamic lists from the queries created.

• Usage of Commons and its potential use for them and another Wikimedia projects like Wikipedia, Wikisource and Wikidata.

• How can they contribute to Commons with their own multimedia files (basic methodology).
• How can they contribute to Commons with their own multimedia files (advanced methodology): working with batches of photographs and structured documents with the data, usage of Pattypan and structured data.
• How to ease the usage of the files uploaded.
• [Mainly BNP] How to apply OCR process in documents (preferably in Portuguese) suitable to be uploaded to Commons and used in Wikisource.

Activities

The edit-a-thons and the another activities dedicated to the creation or the improvement of the content, like the challenges similar to 1lib1ref, will have as their main purpose to encourage the participants to use the sources available in the institutions in the creation and improvement of articles in Wikipedia in Portuguese, alongside with the creation of items in Wikidata. But it also will be a good opportunity to encourage people to search where might be used some multimedia file, such as an image or a document, or even to check what kind of activities (edit-a-thons, data-a-thons, source-a-thons...) may be the most exciting for the participants.

• Literacy workshops in the different projects we address (Wikipedia, Commons and Wikidata, and even Wikisource if the one of the institutions is interested in this project).
• Edit-a-thons and data-a-thons in both institutions to engage both external persons and the ones of the team of the institutions that are interested but not directly involved in the project.
• [FO] Participation in the Wikipedia Asian Month 2019 (WAM) of the Portuguese Wikipedia with the collaboration of Wikimedia Portugal [probably with the participation of the BNP].

• Onsite events: Edit-a-thons, talks and workshops.
• Online participation.
• Let know to the community of users living in Portugal that they have two institutions with workspace and documents available to collaborate in the WAM.

• Promote the workspace in both institutions as places in which the interested ones might attend to contribute to the Wikimedia projects using theses spaces and the documents.
• [FO] Build relationships with Wikimedia Goa, as well as with another Portuguese speaker communities in Asia.
• [BNP] Coordinate with Wikimedia Portugal and Wiki Movement Brazil User Group the upload campaign of a large part of the multimedia content (images, documents, etc.) of the Biblioteca Nacional Digital.

Another institutions involved

With this project it is important to keep in touch and work with another institutions that have shown their interest in the Wikimedia projects, like the NOVA SBE (mainly its library, see also Wikidata Days 2019 for previous contact) and the Hemeroteca do Lisboa (newspaper and periodicals library). There are another potential institutions with which to work and plan future projects of mutual benefit, for them and for the Wikimedia Movement.

How will you let others in your community know about your project (please provide links to where relevant communities have been notified of your proposal, and to any other relevant community discussions)? Why are you targeting a specific audience?

The idea is to notify the involved communities all the activities and the progress of this project. The main places in which the announcements will be done are the village pumps of the respective communities and their related mailing lists.

The project will have six reports, five while the work is in progress, and then the last one will be published when the project will be finished (according with the rapid grants policies) to report the results. These reports will be announced in the village pumps too, as well in the mailing lists in which may be members interested.

What will you have done at the end of your project? How will you follow-up with people that are involved with your project?

At the end of the project the project will have the next results:

• Staff of the FO and the BNP trained to address by themselves their own participation in the Wikimedia projects, with activities, content contribution to the mentioned wiki projects and training. They are going to be trained in the installation, configuration and usage of the MediaWiki software, including Wikibase, and some powerful tools like OpenRefine, QuickStatements and Mix'n'match.
• Participation in several activities organized with the institutions and in the WAM of the Portuguese Wikipedia.
• Content contribution to Wikidata, Commons and Wikipedia in Portuguese.
• Both institutions will be known as workspaces to contribute to Wikimedia projects and as advocates of the free knowledge and the Wikimedia Movement, what might be a model to follow by another Portuguese institutions.
• Relations strengthen between the Wikimedia Movement in Goa and Portugal, and with the Wiki Movement Brazil User Group.
• Contact with another institutions institutions.
• Collect data and information, and note how have been each part and the reaction of the participants and the institutions. This might be very useful for the developing of learning patterns related to the activities carried out.

To follow-up the two institutions it is necessary to keep in touch with them. There are plans to create groups and mailing lists, public and internals, to contact with the participants of the project and help with Wikimedia projects related issues or with the ones related with this project. In the case there were activities that might be relevant for them I would share with them.

It is important to follow-up with the people involved because this grant is for a pilot project and they have shown interest in fund a similar project if it succeeds. Thus it is very important to follow-up the participants of the activities and the staff of the institutions, but also with the people in charge of the departments involved.

If the project succeeds, the next phases will address a big amount of data and multimedia files. For example, in the case of the BNP there are approximately 2 millions of authorities and 1 million of entries that may be new items or added to existing items.

Impact

How will you know if the project is successful and you've met your goals? Please include the following targets and feel free to add more specific to your project:

An important part of the impact of this project is related with the training of the staff in the MediaWiki and Wikibase software and tools. Although it might involve creation of items in Wikidata or even file uploads to Commons, this part is more complicated to size in terms of creation of items.

1. Number of total participants (may be higher)

   Training:

   • FO: 2-4 participants (documentalists, librarians and museum staff)
   • BNP: 1-4 participants (computer scientists and librarians)

   Activities:

   • 10-30 participants per activity (estimated from previous activities in Portugal)

2. Number of activities to organize

   • FO: 3-5 activities, at least 1 WAM related.
   • BNP: 3-5 activities.

3. Number of articles created or improved

   It will depend mainly of the activities related with WAM, but if the onsite event dedicated to it succeed (10-30 participants) it might be possible to have 1 article per participant (10-30 articles).

4. Number of multimedia files uploaded to Wikimedia Commons

   • FO: 500-1000 files
   • BNP: 5000-10000 files (due the mentioned collaboration with Wikimedia Portugal and Wiki Movement Brazil User Group).

5. Number of multimedia files used on Wikimedia projects

   • At least a 25-50 %

6. Number of items created in Wikidata

   • FO: 500-2000 items (depending of the data sets available)
   • BNP: 500-2000 items (depending of the data sets available)

Resources

What resources do you have? Include information on who is the organizing the project, what they will do, and if you will receive support from anywhere else (in-kind donations or additional funding).

The main necessity of the project is a WiR to coordinate the work explained above. The WiR will coordinate and assist the staff members to achieve the project goals, as well as organize the activities proposed and conduct the training sessions. The WiR will also works as a liaison between the community and the institutions, to make easier the inclusion and the communication in the case of problems, and between the participants in the activities and the community. In addition, the WiR will report the work made every two weeks, in Meta and in the Wikimedia projects involved. The time of the WiR will be divided in:

• 45 % training (FO-BNP): talks and workshops.
• 35 % activities (FO-BNP): organization and execution, offline and online.
• 10 % partnership: communication with the persons in charge of the institutions, and contact and partnership with the others mentioned.
• 5 % reports.

The project is co-organized with the FO and the BNP. Both, FO and BNP, will have their staff in training, independently, during this project. They are going to contribute to the projects editing and learning how to apply MediaWiki and Wikibase technology for themselves.

Both institutions are going to:

• Provide space for the activities and the training.
• Provide equipment and workspace for the WiR.

In the case of the another institutions, the library of the Nova SBE and the newspaper and periodicals library of Lisbon will probably have a workspace, but taking in account these two institutions are two smaller projects this is a minor concern.

People in charge of the project:

• Iván Hernández Cazorla (WiR), Ivanhercaz in the Wikimedia Projects. Historian and digital humanist interested in the cultural heritage, the open knowledge, the open science and the Wikimedia Movement. He has been involved in different projects related with Wikimedia and the open knowledge, like the Wikidata-IATEXT, as well he has given several talks about the Wikimedia Movement and the possibilities around it.
• Paulo Santos Perneta (advisor), DarwIn. Member of Wikimedia Portugal and liaison in the projects involved with the FO and BNP. Researcher of the Centro de Literaturas e Culturas Lusófonas e Européias (CLEPUL) and the Associação para o Desenvolvimento dos Estudos Globais e Insulares (ADEGI).

This project has not planned to receive any additional funding.
