Purpose and vision

Please give a brief description of the event you are planning. What do you hope to accomplish during the event? Why is this event important for your community?

itWikiCon2018 will be the second edition of the gathering of the Italian speaking community. Seen the success of itWikiCon2017, both in terms of number of participants and of the impact on the community, as well documented in the final report of the event, a team from Como and surroundings decided to pick up the challenge of organising this second edition.

The event will be organised over three days with up to three sessions running in parallel. Both hands-on workshops as well as standard conference sessions will be held. The goals are twofold:

  1. exchange and discuss knowledge and experiences aimed at strengthening the online collaborations and leading to new ideas and collaborative projects amongst community members;
  2. grow skills and abilities in order to increase the community members expertise and awareness.

The event will be structured in order to attract both experienced users and beginners (including the locals), up to children for which a dedicated afternoon will be organised. Thanks to the tight collaborations with local authorities and association which the organisers have established in the past couple of years, it will be possible to open and promote the event to the city of Como and surrounding towns at large.

Results of such an event, where the community meets and discusses face to face and interacts with society at large, must be measured on the long term. The main expectations being that of growing a strong and consolidated community, able to share its knowledge both online and offline.

We have submitted to the community a survey designed to collect in a structured way the community preferences to drive the definition of the program of itWikiCon2018.

The survey proposed 6 topics, and participants were asked to select the two topics rated as most important to have in the program. For each selected topic, it was further asked to indicate no more than 3 specific issues felt to be particularly useful/interesting. The last part of the survey prompted two more general questions: one about the most interesting programs and one for any further comments which could not fit into the survey schema. All questions regarding topics and issues included the option “Other” to let people indicate something else than what designed by us. It was also given the opportunity to add a motivation for the choice made.

The text of the survey was bilingual English/Italian. Hereunder only English wording is used for the predefined option. “Other” answers and motivations are reported in the original language used by whom answered the survey.

For pure statistical purposes it was asked whether they attended the itWikiCon 2017 in Trento.

We have disseminated the survey in:

  1. Village pump (bar) of all Wikimedia projects in Italian;
  2. Italian Village pump of Wikimedia Commons and Wikidata;
  3. Village pump of Wikipedia in Italian regional languages;
  4. Channels of Wikimedia CH and Wikimedia Italia;
  5. Telegram channels of it.wikipedia and itWikiCon 2017.

84 community members responded to the survey: 31 declared their presence in Trento, 53 their absence, 0 skipped the question.

Analysis of the survey edit

The structured scheme of the questions encouraged participation as community could better map its needs and expectations against this framework rather than the previous survey scheme which had mostly open questions. Additionally, for the organization team, the outcome of the present survey is much more valuable in the definition of an effective conference program than the vague track provided by the previous survey. The outcome and the analysis of the previous survey were therefore removed from the page but are available in the history log: the latest version being this one.

The participation in the survey is in line with expectations. The number of answers coming from people not present in the previous edition of itWikicom almost doubled the number of answers coming from people who participated in Trento: this likely depends on the echo of the previous event on the global community.

The top-3 topics in the ranking are the same both as "most important" and "second most important" for the community, always accounting over 65% of the votes. These topics will be covered by the program in order to match the expectations of the community. On the other hand, none of the topics received a negligible amount of votes, hence the overall program must be balanced to have sessions covering all topics.

The trend that can be read in the preferences of the community for the specific issues is that "hands-on", "tutorials" and, in general, sessions with a benefit perceived as concrete or immediate, are by far preferred to brainstorming, research and similia.

It is helpful to get an understanding of why this event is important to your community, and what experiences you have had in the past. Please answer the applicable questions below.

1. What inspired your community to begin planning this event?
The benefits of the first edition of itWikiCon were immediately evident to most people in Trento. This first gathering event for the Italian speaking community left a very positive feeling in participants: according to feedback summary the event was rated with an average score of 4.7/5 and no single score below 4. The idea to hold the event again (and possibly make it recurring on annual base), not to lose the momentum created by the event, was already discussed in Trento among participants there.
2. How does this event relate to other activities that your community is working on?
The itWikiCon aims to mark the time in the year when all local groups normally operating in different wikiprojects and in different geographical areas gather to share, on one hand, the experiences of the past year and, on the other hand, the expectations and the fears for the future. To make the aim a reality, the event must be held on a regular base. Certainly experiences, expectations and fears can be exchanged as well during the year through forums and chat but undoubtedly the opportunity of a face-to-face meeting is more effective as long as communication through written words somehow, on the long run, limits the ability to exchange the emotions behind the thoughts.
itWikiCon2018 will also pay attention to outreach. The average comprehension of the wiki world among Italian speakers is still suffering several bias: this is an obstacle to local groups when organizing their events. Having a large event, with dedicated sessions for the large public, able to attract media attention can help in removing some of the bias and, as a side effect, to pave the way for local groups to have more opportunities.
3. Please list the priorities identified in the report from the last conference organized by this community. What progress have you made in those areas?
One of the main outcomes of the previous meeting was to strengthen the relationship networking among the community somehow suffering the clustering caused by the topography of the italian peninsula (where most italian speakers are from). Few examples of cooperation born, or boosted, in Trento and continued afterwards include:
  1. The coordination page in Meta for Italian local groups: Gruppi locali di lingua italiana (as outcome of this 2017 session);
  2. The coordination page in Meta for the international project Wikipassaporto (as outcome of this 2017 session);
  3. New participants for the already running cross-national project WikiAlpenforum (as outcome of this 2017 session).
The overall climate in the varoius wiki-projects greatly benefited from the gathering in Trento. Less experienced people learned the how it works in training session (such as the one about bots, the one about wikidata, the one about OpenStreetMap or the one about wikisource) and now can contribute in a more effective way. Most of these participants look forward to the next edition of itWikiCon in oder to attend the "level 2" of such training sessions.
4. If your community has hosted a similar conference in the past, what key lessons were learned, and what would you like to improve on?
The ever first edition of itWikiCon was held last year in November 2017. Participants reported as a weakness the missed opportunity to have an impact on local population and to have some echo in the media coverage. During this edition, we will have a specific session for outreach with experienced wikipedians.

Venue and Logistics edit

1. If the venue is more than 1 hour away from a major airport or transportation hub, how will participants travel to the event venue?
The city of Como is located on the world famous Como Lake, and is the administrative capital of the Province of Como. It is located approx. 55 km (40 min drive) from Malpensa Airport, the main Italian hub. Como can be reached by train from Malpensa by taking the Malpensa Express train to Milano Centrale or Milano Nord Cadorna and changing on the line to Como Nord Lago in Saronno Railway Station. During peak times the trip takes approx. 1 hour, off peak times up to 2 hours due to poor connections in Saronno. Second class train ticket € 10.90.
Como is served by three train lines:
  • the train line connecting Milano Centrale to Switzerland via Como S. Giovanni railway station. Two trains per hour during peak times, 37 min trip with express trains.
  • the train line connecting Milano Porta Garibaldi to Chiasso via Como S. Giovanni railway station. Two trains per hour during peak times, 59 min trip.
  • the train line connecting Milano Nord Cadorna to Como Nord Lago, up to three trains per hour during peak time, 59 min trip.
Second class train ticket currently costs € 4.80, on all lines (except for EC trains).
According to data on transportation collected during the itWikiCon2017 edition, we expect that most participants will arrive by train.
2. Is the event venue within walking distance from the hotel? If not, how will people travel between the two locations?
The venue which we are aiming to obtain is located 10 min walking distance from Como San Giovanni railway station and 15 min from Como Nord Borghi station. It is 10 min from the old town center where most of the hotels, b&b and apartments are located.
3. Is the event venue and hotel accessible for people with physical disabilities?
We are aiming at obtaining a space from the University of Insubria, which is accessible for people with physical disabilities as it foreseen by Italian law.
4. Do you anticipate any challenges with using the space for the event you are planning?
No specific challenges. We would use rooms which are commonly used for university lectures and thus are fully equipped with all the materials necessary for conferences (video projectors, PC, white wall, board etc.).

Participation edit

It is crucial that most participants have a minimum level of Wikimedia experience so that they can engage actively in workshops and discussions. Please answer all applicable questions below.

1. Please describe the target audience for this conference or event.
First, the event is aimed at the Italian speaking community involved in Wikipedia and its sister projects, as well as all other people involved in open source/open access projects. The idea is to provide food for thought to both beginners (i.e. with at least a username registered on one of the Wikipedia projects) as well as advanced users. The three parallel sessions are infact aimed at involving users with different expertise.
Second, the event is also aimed at the community at large. Our goal is to involve, as active participants, the citizens of Como and surroundings. To reach this goal either Saturday or Sunday specific workshops on, e.g., Wikivoyage or Commons, will be organised and taught by senior users (participants to the conference).
Third, the event also wants to see the participation of the younger ones. Also in this case the idea is to set up specific workshops during the weekend on, e.g., Vikidia or programming with open source softwares, in partnership for example with the local Coderdojo association.
2. If your conference has an outreach component, how will you ensure engagement with these participants after the conference, and what impact do you see them having on the projects?
We think that an outreach component is fundamental for a successful outcome of the event. As already mentioned, we want the city of Como that will be hosting us to be also an active participant in the event. As for the engagement after the conference, we expect this event to strengthen the already existing collaborations with local institutions and associations. Moreover, we are also aiming at activating a collaboration with the University which will be hosting us and which is already very active with many outreach activities on the territory, with which we could partnership. As for the follow up with kids, the idea is to partner with local Coderdojo or similar associations in order to include workshops regarding Wikipedia and related projects in their annual outreach programs.
In compliance with existing privacy laws, we will also collect participants contacts in order to update them on the ongoing activities on the territory.
As for the impact, it can be summarised in the sentence press the edit button. Raising the awareness that Wikipedia and its sister projects are not simply passive web pages, but active and lively spaces to which everyone can contribute, and in doing so add a small brick to the collection of human knowledge, especially in a country like Italy can be considered a very important milestone.
3. Are you thinking about inviting WMF staff to attend or participate in the event? If yes, please list individuals or teams who you may want to invite, or describe how you would like WMF staff to be involved in the event.
We wish to invite Erica Litrenta to hold one or more sessions. Preliminary, not binding, ideas for such sessions include the community liaison concept, the roadmap of visual editor, the tools for user feedback. The actual number and content of the sessions will be discussed and agreed with her.

Scholarships edit

1. How many scholarships would you like to offer?
15 scholarships offered by the organizing team for speakers and event organisation volunteers: 10 full scholarships (max 250,00 EUR) and 5 partial (max 130,00 EUR). In case of request for scholarships of lower value, the remaining funds may be used to allocate additional scholarships.
Other scholarship will be offered by Wikimedia Italia and Wikimedia CH: the chapters have confirmed their commitment, but will decide the amount with subsequent resolution.
2. What expenses will the scholarship cover?
Scholarships will cover expenses for registration and travel and 2 nights accommodation (full scholarships) or for registration and 2 nights accommodation only (partial scholarships). Costs for food outside the conference will not be covered.
3. How will scholarship recipients be selected?
Wikimedia Italia and Wikimedia Switzerland will select scholarship recipients by appointing an internal commission which will define the guidelines, prepare the form and asses the applications independently.
Scholarships from the organizing team will be assigned to experienced wikimedians actively involved in the event (some speaker and volunteers, e.g. photographer). The criteria will be, for example:
  • experience on Wikimedia Projects;
  • interest of the speaker's proposed topic by the community;
  • the speaker's ability to cover multiple themes.

Risks edit

Examples of risks, along with how you would minimise or overcome them, are:

  • One of the main risks could be represented by the venue, as we do not yet have the confirmation from the University that they will host the event (positive ongoing negotiations);
  • A second risk concerns the topics and quality of the talks as well as the number of speakers;
  • A third risk is the renown high cost of accommodation in Como.

Examples of how to minimise these risks include:

  • We have investigated many alternative solutions, always in Como or in very close by locations easily reachable with public transportation. The first alternative is Villa Bernasconi, located in Cernobbio, where we have hosted many wiki events in 2017. The second would be a museum in the very center of Como. And the third is an Hotel located always in Cernobbio.
  • Having requested specific scholarships to be assigned by the event organisers (as described above), we will be able to select and invite speakers also based on the topics of the survey we will run with the community in summer, in order to tailor the event program to community requests.
  • Como is a very touristic city, and in the high season the cost of accommodation can be very high. However organising the event in low season (i.e. November) and being already active in negotiating ad hoc agreements with hotels, we are confident that this will not be an issue.

Mi spiego: è capitato che è stata organizzata una wikigita per fotografare monumenti da inserire in wikimediacommons, perché non sono stati invitati i mappers? Visto che sarebbe stato utile linkare immagini ed articoli wikipedia su OSM?
