Wikimedia Northern Europe Meeting 2018/Welcome letter

Wikimedia Northern Europe Meeting 2018
Main Programme Participants Logistics Travel guide Documentation

Subject: Welcome and some instructions for WikiNEM

Dear participants in WikiNEM!

We are only one week away from starting up the first Wikimedia Northern Europe Meeting, and we’re excited to welcome all of you to Stockholm. This is a welcome message which includes some final details on logistics and program that we suggest you take a look at before arriving in Stockholm.

1: Familiarize yourself with the program.

Scheduled times and program content are available on the event page, which also introduces the main type of activities we will use for this meeting. The program also specifies the kind of engagement that each activity will require. You can already start by thinking about one of the key questions for this meeting: What do you need to discuss in order to move things forward? (In relation to Wikimedia collaborations in our region.) What is your point of view? How can you contribute and what can you learn?

2: Start preparing for follow-ups.

Due to the limitations of the meeting, not everybody can participate. So, start planning for how to involve your fellow Wikimedians after the meeting. How can you best share the outcome of the meeting? Blog posts, meetups, newsletters? Keep track on how sessions and discussions are documented and kept, and make sure you contribute to documentation when possible, so that you have many resources at hand for when you return to share and follow up with others. We hope this meeting will be a starting point for much more joint activities between affiliates in the region, so make yourself ready to make commitments for next steps relevant to your interest and capacity.

3: Be social and network.

The Wikimedia Northern Europe Meeting is not only a meeting to discuss important issues for our region, but also a great place to exchange ideas and be inspired. You will have many opportunities to get to know the other participants. To facilitate this, we invite you to fill out a short introduction about yourself in the participants’ gallery. Once you have done that, browse other participants to prepare for who you will meet and the kinds of ideas you’d like to take this opportunity to exchange with them. To enhance the social experience for us as a group, we have created a Telegram group, which you can access via[link]. Feel free to use this for any social, logistic or programmatic communications. Of course, we appreciate anyone who brings a selection of local sweets to share with the rest of the group.

4: Transport, accommodation and meals

We recommend you use [ https://sl.se/en/ Stockholm public transport] to get to the meeting venue. The closest stop to the hotel and conference venue is Mårtensdal, accessible by tvärbanan or bus number 74. From the central station you can take any of the green subway lines heading south (either number T17 Skarpnäck, T18 Farsta strand or T19 Hagsätra) and

  • change to bus number 74 heading for Sickla udde at Skanstull or
  • change to tvärbanan heading for Sickla at Gullmarsplan

Using public transport you have to make sure you have a valid ticket before boarding a bus or subway. Tickets can be bought using the app (SL-biljetter, at Google Play or App Store) or as a prepaid card at Pressbyrån or at the SL-center at the central station.

Your accommodation is Motel L Hammarby Sjöstad, close to the conference venue. Please find the address of the hotel below:

Motel L Hammarby Sjöstad
Hammarby allé 41
120 30 Stockholm
Phone: +46 8 40902600

The conference venue is at Goto 10, located at Hammarby kaj 10D. The office for Wikimedia Sverige is at the same address. See conference map for all locations, and be aware that google streetview is not updated at our address.

To prepare for your travel, we advise you to go through the travel checklist on Meta. Please make sure to bring an adapter (plug type F, Schuko plug) as well as Swedish crowns (SEK) or a valid credit card with you.

Friday night we start off with an Italian buffet at Goto 10, paid for by our friends at the Swedish Internet Foundation. For those of you staying at the hotel, breakfast (starting at 6.30) is included. Lunch both Saturday (vegetarian wraps) and Sunday (sallad buffet) is included and will be served at Goto 10. Dinner Saturday and Sunday is not included in the conference, but there are a lot of great restaurants in the area.

You can find more advice on logistics, weather and traveling to Sweden on the event pages on Meta.

5: Enjoy the Friendly Space.

All participants of this meeting are expected to respect and abide by Wikimedia Sverige’s policy for inclusive meetings. Individuals not complying to this policy will be asked to leave the event.

6: Questions? Ask us!

If you still have a question, don’t hesitate to ask. You can do that via this mailing list (wikimedia-northern-europe@lists.wikimedia.org), via Twitter (@Wikimediase, Hashtag #wikinem), via Telegram or in person at the conference. We are very happy to help you.
