Goal edit

The goal of the project is to organize six events – in Sofia and five other major cities in Bulgaria, in order to demonstrate the current results of the very positive 4-year-long collaboration between Bulgarian Wikipedian community and the Bulgarian Archives State Agency, and serve as catalyst for the establishment of new contacts with other GLAM institutions, with the regional media and the local communities of interested Wikipedia readers and potential editors.

The idea which originally started as "a travelling showcase" of the best examples of the digitization of archive documents for the benefit of Wikipedia and free knowledge, later developed into a multifaceted, coherent project which will happen with the support of the State Archives, providing part of the funding, and official contacts with their local peer and partnering institutions.

More specifically, we aim to establish or reinforce our relations with peers in the following four directions:

  • Wikipedia / Archives relation. Apart of the virtual space, where we have actively promoted our first GLAM project in Bulgaria, we want to ensure more visibility in the real space, too. We want readers to know of the project, and understand the importance of preservation of the cultural heritage, and why we do it under free license in Wikimedia. Also, we aim to reach out to the staff in the Archives' regional departments from outside Sofia, to evangelize and encourage them to contribute in any way possible, as much as their job specifics and workload allows.
  • Wikipedia / GLAM institutions. Our colleagues from the Archives will support us, inviting for the openings of the exhibitions their partner institutions from the local historical and ethnographic museums, galleries and libraries. Given that the Bulgarian wiki community is still not formally constituted in a legal body, we rely on this very specific institutional support which will come from the Archives State Agency. Seeing the positive outcomes of our collaboration, other GLAM institutions may also perceive the benefits for themselves from a joint project with Wikimedians. At worst, they will be made aware that/how they can use the content and resources produced in the frames of the collaboration with the Archives.
  • Enhancing the contacts among Wikimedians. Five large and well promoted regional meetings outside of the capital, Sofia, will make it possible for Wikipedia editors to meet, discuss, provide and receive training and impetus to start working effectively and passionately - both together, and within their local Archives' department or GLAM institutions. Beside identifying the existing local Wikipedians, real life meetings like exhibitions are also a great way to convert Wikipedia readers and fans into dedicated editors.
  • Wikipedia / Local media. Local media are usually 'hungry' for such events happening in their regions. We may even need to allocate one more day per city only for interviews/contacts with local media. In local media, we will certainly receive much wider coverage than in the national media. Besides the particular news occasion, related with the joint exhibitions, we will use the opportunity to conduct awareness campaigns among the media representatives about how to correctly use the content from Wikipedia, Commons and its sister projects.

Of course, we won't be true Wikimedians, if we don't use the exhibition trips around the country also for:

  • Producing more free content. Obviously. Either in the regional departments of the Archives, or in local GLAM institutions, or in the local urban environment, either by scanning archival documents or by taking pictures with our cameras... we will grasp any opportunity to create more free content with encyclopedic and educational value. This is bigger than us.

The main activities to be done at the preparatory stage will be:

  • Preparation of visual content for the exhibition:
    • Defining the content and the design of the vinyls to be exhibited. (Vinyls chosen for easier/cheaper transportation and handling.)
    • Translating subtitles of Wikimedia videos for showing during the exhibitions as a multimedia element of the exhibitions.
    • Design of brochures
  • Promotion
    • Preparing press releases and presentations for the GLAM representatives
    • Contacting local GLAMs and media in advance, checking their willingness for deeper interaction
    • Creating event pages on Facebook, promotion via relevant channels

During the touring period the main activities will be:

  • Transporting the materials and setting up the exhibitions
  • Meetings with the regional Archive directors and staff.
  • Meetings with other GLAM representatives from the region - these can be done both in the beginning and in the end of the period of the local exhibition.
  • Contacts with media - time for interviews, etc.
  • In case of declared interest, we will organize lectures about Wikipedia for the Archive's and GLAM's staff.
  • Meetings with local Wikipedians.

The main activities after the end of the touring period:

  • Finalizing the establishment of as many as possible new GLAM collaborations
  • Starting the actual work within these collaborations
  • Discussing opportunities for having the exhibition repeated on a smaller scale in the rest 21 provinces in Bulgaria

Target readership edit

Since the project will be implemented in the frames of our existing collaboration with the Bulgarian Archives, the targeted projects are mainly Commons, where we upload the digitized content, and Bulgarian Wikipedia, which benefits from the images and documents to have articles illustrated and newly created.
After the rather successful international Archives Challenge, we are already familiar and confident with the mechanisms of converting a purely national Wikipedia/GLAM cooperation, which limits the participation with the required physical access within the institutional working hours, into an international Wikipedian initiative that happens online, remotely and in many more languages. In the end of 2016, we plan to run a second edition of the Archives Challenge, and we believe that it will have even wider support in even more language versions, beyond those already involved in 2015, when Wikipedians from Armenian, Serbian, Georgian and Romanian Wikipedia contributed with new encyclopedic content and added translations and categories to the files in the Commons repository.

The most crucial thing that the project will attempt to change is the attitude of the average state-owned GLAM institution in Bulgaria, which often underestimates the value of Wikipedia as a free source of information, and a channel of interacting and communicating with its interested audience. We want to change the institutional fear of opening to modern information technologies and the fear that digitally sharing resources with the general audience will lead to lower numbers of visitors and lower loyalty.
We want to create a showcase of our well working Wikipedia/GLAM collaboration, and empower other GLAMs to follow the example of such an influential GLAM institution as the National Archives. Speaking with the voice of the Archive is a strong message to their peers, and one thing which we believe will make the difference. We want to give other GLAM institutions the idea, the impetus, the knowledge and the actual opportunity to establish with us similar collaborations.

Measures of success edit

Please provide a list of both quantitative and qualitative criteria that will be used to determine how successful the project is. You will need to report on the success of the project according to these measures after the project is completed. See the PEG program resources for suggested measures of success.

Concerning visitors at the openings of the exhibitions, we will consider it successful, if at least 100 people attend each city exhibition, including the opening. We will try to ensure more massive visitation by promotion of each exhibition in the social networks (our BG Wikipedia group and page, the Archives' page, and regional and thematic channels). We will request from the exhibition hosts in all cities to record for us the number of visitors, and to keep a visitors log, where willing visitors may record their impressions (a Wall of compliments will be even more visually attractive tool for the same purpose). In addition, there will be an optional survey to be given to visitors to fill in, and return us a feedback of their impressions and comments about Wikipedia and the collaboration with the Archives. Such a survey will be conducted onwiki as well.
Concerning other GLAM collaborations that may stem from the travelling exhibition of our collaboration with the Archives, we will consider successful if we contact at least 6 external GLAM institutions from all over the country, and conduct with them thorough discussions about potential collaborations on any level possible - content donation, editathons, phototons, teaching GLAM staff to write in Wikipedia, etc. We do not aim at more now, because of currently insufficient capacity and human resource, so we will especially encourage the collaborations that can result in donation of ready-made content.
Concerning media coverage, we will aim at at least 6 publications in different regional media, not counting media under our control like the Blog of the Bulgarian Wiki community, or posts in social networks.
Concerning newly contributed content, we will consider it successful, if we can generate at least 100 new images from each regional Archive, and/or local GLAM institution. These images are supposed to have high encyclopedic, educational and informational value and potentially illustrate existing articles or lead to generation of new ones.

Note: In addition to your project-specific measures of success, you will also be asked to report on some global metrics at the end of your final report. Please keep this in mind as you plan, and we'll support you as you begin your project.
