Dear @VThamaini (WMF):, thank you very much for reviewing our grant proposal. We're very excited and looking forward to putting words into action. In response to your questions, here are our answers:

  • How did you engage the community members in the development of this proposal?
We have a very close communication between the staff and the board members, and we are always open to sense and listen to our volunteers and the people who participate in our online events, and also the people we collaborate and organize those events with; the opinions are favorable, and they gave us many ideas. Like the Community Skills Development plan, that offers training about human rights, gender, feminism. Or the Latin American book about the 20th Anniversary of Wikipedia en español that we propose, it was a common voice that we need to know more about those stories. Also, in every edit-a-thon or editatona we take some time to approach the participants in order to know if the event is adequate, enriching, didactic, informative and joyful. What’s more, we created a mailbox available for everyone, so any member has the possibility to get in close contact with any affiliate and the board.
  • We are also curious to learn about the governance structures and processes you have put in place to support the realization of this annual plan?
About the governance structure: We have the Board Members, the Volunteers and the Staff, although everyone has the same right to bring an idea, to propose any change, to point anything wrong, to organize events, is up to the board what plans are better in terms of timing, funds, actions, and metrics. We have a democratic, open and respectful community.
About the process: Every idea or plan goes back and forth between the community and the board members, but the ultimate word comes from the board. The staff purpose is to execute those plans. And this process is fluid and open to any suggestion, so we can adapt to possible changes and/or the development of a second plan.

I hope this clarifies a little bit more about our grant proposal. Please, feel free to let me know if you require any further information.

Regarding unused funds on previous grants

Dear WMF, and @VThamaini (WMF): This is an update regarding our remaining funds in previous grants suggested by @MJue (WMF): I’m giving you the whole math and context.

  • For the 2018-2019 grant we have an amount of unused funds of 659,649 MXN.
  • For the 2019-2020 grant we have an amount of unused funds of 627,072 MXN.
  • That gives us a total of 1,286,721 MXN unused funds.

Our petition, also suggested by Morgan, was to reallocate this unused funds into this current grant request, that can be deducted, instead of returned. So, the actual math into this grant will be:

  • In this current grant request we asked for an amount of 3,517,100 MXN.
  • We have a pre-approval in the 2020-2022 grant of 2,721,008 MXN for this year, because of the Pandemic. Payable at the beginning of this fiscal year.
  • We have an amount of 1,286,721 MXN unused funds that can be deducted.
  • So, if I’m not wrong, we will receive the pre-approved amount of 2,721,008 MXN.
  • With the 3,517,100 MXN requested there is a difference of 796,092. Here we can reallocate our unused funds, so the remaining unused funds will be 490,629 MXN, that we can deduct for the next grant request.
  • And the actual amount of funds payable for this grant, instead of 3,517,100 MXN, will be 2,721,008.

Now, which programs we will cover with these remaining funds?: It’ll be Content Creation, Education or Administration, which for us are the most fixed and stable programs. Specifically for:

  • Edit-a-thons and Editatonas.
  • #JuevesWiki (Wiki Thursdays).
  • Payment for our staff.
  • Payment for our accountant.
  • Payment for our server to hold our online courses.
  • Payment for server maintenance.

Simple APG Committee recommendation

We recommend that Wikimedia Mexico receives funding of US$108,838 / 2,721,008 MXN for 12 months. We continue to be impressed by your decision to focus on underrepresented groups being part of your Wikimedia projects and innovating to create more spaces of inclusion.

We recognize the need for growth in the capacity of the team to support the projects and engagement of volunteers. We recommend the need to develop or identify clear guidelines on the roles of volunteers and staff and where there are opportunities of interfacing.

We were curious about the work you have done before with Yucate and other indigenous languages and wondered why similar work has not been included this round, though we understand, there could be a shift in focus areas.

We encourage you to deepen the outcomes of your photography programing beyond the output of pictures, seeing that the program could have more outcomes than stated.

Overall we remain encouraged by your work with the community and look forward to seeing the unfolding change.

Wikimedia Mexico programs include and all these programs seek to work with underrepresented communities. We recognize you taking the time and effort to develop innovative programs that strive for inclusivity and diversity. We are pleased to see you incorporate emerging issues resulting from community requests; such as training on sensitive and current issues including demarcation of patriarchy, human rights, inclusion and gender sensitization.

We commend you for evaluating your capacity to identify roles needed to support you in achieving your goals and look forward to learning more about the impact of the restructure. Additionally, we recognize the need for growth in the capacity of the team to support the projects and engagement of volunteers. Relocalización de fondos

Derivado de una reunión con Kassia Echavarri-Queen y Mercedes Caso, del equipo de Recursos de la Comunidad, para analizar la mejor manera de ejercer los recursos, revisamos algunos eventos y actividades que no se realizaron y decidimos relocalizar fondos de este grant para pagar la renta de 13 meses de julio 2022 a agosto 2023, la compra de 5 equipos de cómputo para integrantes del staff, así como la conformación de un Fondo de Riesgos por 10066 USD.
