Feedback on proposed activities

1) Comment/ question: In my opinion, the proposal is not so clear. While I understand the proposal seeks to attract GLAM institutions and their people to develop Wikisource, but I don't know the current problems and why they will do this? Can the applicant elaborate more? Also is there the intention to build a community who are interested in GLAM to be future trainers and facilitators? How do you plan to do that?

2) Could you provide a list of partners you plan to engage for the project and what is the level of engagement with them to date? After this project is over, how do you plan to maintain the partnership with the participants as well as external organizations?

3) Related to question 7, could you provide more details on what each phase/ stage of your project entails? For example, what will you do during pre-training orientation, what will you do at the first training session, what will be the curriculum? Who in your implementation team will be leading each segment?

2) Comment/ question: The applicant had a lot of experience in bclwiki and other projects; however, I assume that he/she can work on Wikisource even though the applicant has only 200 edits. Could you provide more clarity on your/ your team's experience?

3) Comment/ question: I wonder how these people as their voluntary capacity will serve as facilitators: Jp2593 LeahLhey XenBaldoza Maffeth.opiana Ringer? Could you provide more details?

4) Comment/ question: Not sure, with 14 participants, I don't know why they need 3000 USD for logistics and space. 5) Comment: The budget seems slightly high, especially compared to other grant submissions comparing line items

6) Comment/ question: Is the first and second training have the same or is it a continuation? In the proposed budget, you mention the unit of 40 (in rows 5-7)- what is this unit? Number of total participants including organiser (can you please break it down)? Because only 18 training materials provided.

7) Could you provide the proposed cost estimation breakdown for stipend for organizing, coordination, implementation and reporting? and who will be receiving them?

8) Do you plan to buy or rent 4 projectors for this one-off event?

8) How do you plan to answer the key questions that you listed in question 17? Please provide more details.

9) The proposed numbers in your metrics, doesn't seem to square with the proposed quantity listed in your budget. Could you provide more clarity on the target outputs of your activities in terms of content, contribution, awareness, partnerships etc?

Hello @JChen (WMF), here are our response:

Feedback on proposed activities

  1. We intend to train new contributors to build the Bikol Wikisource as a repository of old publications in the local language. We intend to engage the museum and library staff and other individuals from these institutions to collaborate with us in building the project. This training will produce new contributors who can also mentor other individuals such as university students and personnel. Currently, there are several publications on Bikol Wikisource including a novel, a constitution, poems and many religious materials now under public domain waiting to be transcribed and proofread. The University of Nueva Caceres museum is the oldest university museum in the region and the second oldest in the country, and has a wide collection of materials such as local newspapers, magazine clippings, and literary books in the local language ready for digitization. The UNC museum and the James O’brien Library at Ateneo de Naga University have been our partners in conducting seminars and editing sessions since 2012. Our most recent engagements were the Webinar on Wikimedia in late December 2022, and two sessions on Wikisource attended by college students in March and June 2023. The UNC museum was our partner during the WikiCommons PH Conference held last December 2023. We intend to strengthen this partnership through engagements and collaborations.
  2. Aside from the UNC museum which has offered a space for meetings, we have formalized an understanding between the Bikol Wikipedia Community, the Philippine Wikimedia Community, and the Nueva Caceres Heritage Movement, a non-profit advocating the preservation and conservation of local heritage, for organizing projects, programs and activities which promote heritage advocacy and preservation through Wikimedia. The three organizations have been collaborating in organizing local Wikimedia and other advocacy events such as the 15th Bikol Wikipedia anniversary celebration, a dinner-lecture during the celebration of the 437th founding anniversary of Ciudad de Nueva Caceres, he Philippine Spanish Day celebration in 2018, and Wiki Takes Rinconada back in 2015. We maintain our partnership through mutual support, open communication and participation in respective advocacies.
  3. The training consists of 6 days (now indicated in the proposed budget) and is divided into 3 sessions:
    Day 1 and 2 - The first training session is scheduled on June 28 (Overview of the project and introduction to Wikisource; and Proofreading Challenge) and June 29 (Beginner’s guide to proofreading, and Proofreading session)
    Day 3 and 4 - The second training session will be on July 12 (Uploading files on Wikimedia Commons; and Creating an Index page on Wikisource) and July 13 (How to import books to Wikisource from other open digital sources)
    Two more sessions are dedicated for the assessment and evaluation, and the closing ceremony on July 26 and July 27, 2024
    Between June 28 (second day of the first session) and July 26 (assessment and evaluation), the participants will undergo a 4-week proofreading challenge as part of the activities.

Implementation team

2. Our team is composed of Wikimedians and advocates of the preservation and conservation of local heritage.
Filipinayzd is part of the first cohort of the Wikisource Loves Manuscripts Learning Partners Network, the proponent of Bikol Wikisource and community organizer of Bikol Wikipedia Community; XenBaldoza is a university lecturer, a participant at WikiCommons PH Conference, and the current president of Nueva Caceres Heritage Movement; Maffeth.opiana is the president of PhilWiki Community, a seasoned Wikimedian and a new contributor on Wikisource; Ringer is the president of Sumaro Bikolnon cultural organization and is seasoned Wikipedian who advocates for digitization of old publications; LeahLhey is a university lecturer and an avid contributor on Bikol Wikipedia; and Jp2593 is Bicol language advocate and Wikimedian
3. Ringer will give an overview of the project. He will provide the overview of the project and give words of encouragement to the participants.
Maffeth.opiana, on her part will, give an overview of the Proofreading Challenge. Filipinayzd will be the one to lead the presentations on the Introduction to Wikisource, Uploading files on Wikimedia Commons; and Creating an Index page on Wikisource. Jp2593 is responsible for the presentations on How to import books to Wikisource from other open digital sources. For the Proofreading sessions, the in-charge are, XenBaldoza and LeahLhey to assist in monitoring. As partner organizations, XenBaldoza and Maffeth.opiana will provide certification to the participants

4. See quotation of venue rental (inclusive of food)
We are considering another venue for the evaluation and assessment (Day 5), and graduation and closing ceremony (Day 6).
5. We gave more consideration to the venue with the best facility for a conducive learning environment and to encourage active participation.
6. The training will have 20 participants including 14 trainees and 6 facilitators. It will consists of 6 days, two days per session:
Day 1 (20 people) and Day 2 (the same 20 people) hence 40; Day 3 (20) and Day 4 (20) hence 40 people. The description in the proposed budget has been updated accordingly.
Two more sessions are dedicated for the assessment and evaluation (20), and the closing ceremony (20 people).
The number of copies of training materials to be produced is for each of the fourteen (14 participants) and the remaining four copies for the facilitators (6). We can produce one each.
7. The proponent of this project is Filipinayzd who has worked on the planning and pre-project coordination.
The partner organizations are represented by Filipinayzd for Bikol Wikipedia Community, XenBaldoza for Nueva Caceres Heritage Movement, and Maffeth.opiana for PhilWiki Community. As the proponent, Filipinayzd will also work on the smooth implementation and reporting with the help of the rest of the team including Jp2593 and LeahLhey.
8. Yes, we intend to rent.

Feedback on learning and evaluation

8. The UNC Museum staff and participants can provide information as to what important documents, publications or manuscripts in their institutions or in personal collections must be documented through Wikisource. The participants will be able to discuss during the sessions whether they have digitized any of these collections before. During the sessions, more information from the participants on other open access will surface and this will encourage them to search for more materials on the internet. Engaging with the UNC museum and other institutions, we can establish partnership and promote open access in these institutions. We are curious to learn the motivations and expectations of the participants in pursuing a Wikisource workshop in their institution.
9. In addition to the metrics on number of participants, editors, and organizers, we can provide the following:
100 pages proofread, 300 pages transcribed
5 books imported to Wikisource from other open digital resource; 5 Index pages created on Wikisource
10 new contributors in addition to the 16 participants join the project within a month after the end of the program
2 institutions initiate a workshop within a month after the end of the program

An update on your grant application

Thank you for your responses to the follow-ups questions.

Given the rapid fund grant will be implemented with the Phil Wiki community, we have to decline your application based on the eligibility criteria of the rapid fund grant as Phil Wiki has an open general support grant at the time of application.

That said, we will be adding the in-principle approved amount from this application to Phil Wiki's 2024 General Support Fund application when it is approved.

Your grant application is in-principle approved in the amount of PHP 187,700 and the duration of the grant will be linked to Phil Wiki's general support fund from 1 July 2024 to 30 June 2025 (i.e. this also means, you will need to adjust your implementation timeline accordingly). The approved amount is based on a 3-day training session instead of the proposed 6 days.


Recommendations

  • For this grant application, we would like to flag questions/ responses for (2) with proof of partnership letter to confirm their support, (8) and (9) for inclusion into your implementation plan. It would be also useful to flag that these considerations have been taken into account in Phil Wiki's final report for the general support fund grant.


Additional feedback

* The proposed workshop setting seems quite costly. Instead, we'll like to propose that the applicant considers hosting a smaller event tailored for Wikipedians, heritage stakeholders, and students interested in heritage.

* This adjustment could be beneficial especially since it will be the applicant's first training local participants on Wikisource, which can be a bit complex. Perhaps we could condense the event into a three-day workshop, targeting a group of 10-15 enthusiastic participants.

* At the conclusion of the workshop, we could assign them a homework task to digitize and upload several pages of a manuscript to Wikisource. This approach could prove more manageable and cost-effective while still achieving our objectives.

* The applicant can consider using available public venues such as classrooms in school or Universities they are collaborating with.

* When planning for the training, it would be useful for the applicant to get in touch with Satdeep Gill, Sakti Pramudya and Sailesh Patnaik from the Community Growth team in WMF early for content and training support. ''
