Questions from GAC
editFacebook add
editHi Erlan, thanks for the submission. I have concern about Facebook ads; if I understand correctly, you have plan to pay for advertising? If so, I think that is not the best way for spending money. There is several options for free advertising. Share your twitters and facebook pages, leave a message on relevant forums, print some materials and leave it some office of local tourism organization, or try to find local media support. These are just a few of many free methods.--MikyM (talk) 12:31, 16 August 2013 (UTC)
- We're taking Facebook off the budget due to your suggestion and because we don't consider it key to the success for the project. We will do the job manually. We have already contacted many institutions in our country, so it's doable. Thanks. Alhen (talk) 14:03, 16 August 2013 (UTC)
- Thank you for your co-operation! This proposal looks now reasonable to me. --MikyM (talk) 16:18, 16 August 2013 (UTC)
- Thank MikyM for the suggestion, we are open to any idea about the project to make it better.--Jduranboger (talk) 17:10, 16 August 2013 (UTC)

Support of the wikimedian's community of Bolivia
editEN:I would like to add that this proposal have been discussed previously in the mailing list of the Working Group of Wikimedia Bolivia, and the porposal has the support of our community.--Jduranboger (talk) 17:03, 16 August 2013 (UTC)
Prizes
editThe proposal sounds very reasonable to me, and I give it my full support. But I have a question completely out of curiosity (won't in any way change my support of this proposal): You listed the prices of the awards, and they sound reasonable, but you didnt listed what the awards are, could you tell us? Béria Lima msg 07:47, 17 August 2013 (UTC)
- Reasonable question. First prize is a Tablet, a Galaxy Tab 2 7.0. Second prize is a cellphone, another Samsung something. Problem with attaching names to prizes is that we will have to get that exact one for that precise prize. It's possible the vendor changes the price on that precise article or that it isn't available anymore by the time we want to buy it. We'll make sure that you get to know what we bought by the time the report is handed in. :) alhen Did you call, sir? 21:11, 18 August 2013 (UTC)
- I have another question about prizes. Why there are only 5 prizes but 10 images selected for display? Why not give a prize to the first 10? Good idea to display the international winners! :) --3BRBS (talk) 14:53, 19 August 2013 (UTC)
- EN:Is better to have 5 good prizes than 10 not very attractive, It would requires or more money or reduce the quality of the prizes. However, we are looking sponsored by institutions and local businesses to have as many prizes as possible.
-Jduranboger (talk) 16:25, 19 August 2013 (UTC)ES:Es mejor tener 5 buenos premios que 10 que no sean sean muy atractivos, esto requeriría o más dinero o reducir la calidad de los premios, de todas formas estamos buscando el patrocinio de instituciones locales para contar con cuantos premios sea posible.--Jduranboger (talk) 16:25, 19 August 2013 (UTC)- Maybe you could have asked a little bit more money in the request, if it was necessary. I truly believe prizes are key on the sucess of local WLM contests, but in the end, is up to you guys. I have no further comments upon this.--3BRBS (talk) 15:43, 20 August 2013 (UTC)

Measures of success
editThis is a delicate matter, since is the first time you organize the contest. Not having a comparison point my creat under and over estimated goals. I know it's imporant to set measurable goals, but I have no doubt that if you acquire 1,000 images, the project will be succesfull as well. Maybe you are very certain about some of them (inclusion in the media and institutions), but the number of participants and the number of images is really hard to project on the first time, as an advice, maybe add in brackets that those number would be nice to meet.--3BRBS (talk) 16:02, 19 August 2013 (UTC)
- You're right. I have changed our expectations due to Bolivia's low internet penetration in Latin America(only Haiti is behind us). It's true we have no way to measure how many people we can reach since this is also our first time participating. alhen Did you call, sir? 01:46, 20 August 2013 (UTC)
- I really hope that you can reach and beat this numbers! Be bold!--3BRBS (talk) 15:47, 20 August 2013 (UTC)
Total cost of the project
editI've seen that the total cost of the project is USD $3,734, but the amount requested is USD $3,044. What is valued in USD $690 that is not going to be requested in the Grant? Can those items be added separately as part of the "budget table" in a way sufficiently clear to know that those are costs from the project, but that money is not going to be requested? :]--3BRBS (talk) 16:02, 19 August 2013 (UTC)
- Thanks for the comment. The costs are things that we were going to request, but we have already gotten like the venue, the design for the posters, the website(design+hosting and maintenance). I'm adding the numbers now so you can have an idea. alhen Did you call, sir? 00:12, 21 August 2013 (UTC)
Posters and fliers
editHi,
You are about to print 1000 posters and 3000 fliers. How and where are you about to use it? Do you have enough workforce to effectively place 1000 posters? Polimerek (talk) 10:17, 17 August 2013 (UTC)
- We have a net of contacts all over the country thanks to our partnership with the faculty of architectural studies in Cochabamba. Also, the institution mARTadero has another net of cultural institutions in Bolivia that are willing to spread the word about the contest. What's more, there are friends in different departments that, while not being part of the working group, are always willing to give a hand with contests like this(WLM is an attractive contest). As detailed in the budget, we have to send them the posters and fliers and they will be in charge of distributing the material to promote the contest. We actually are afraid that 1000 posters won't be enough, but don't want to focus only on posters as our only way to advertize the contest. Alhen (talk) 15:32, 17 August 2013 (UTC)
- We have gained previous experience in the organization of other national Wikipedia activities in Bolivia e.g. Arandu contest. Also, we have been involved in other contests with virtual communities such as Free Software, blogers, tuiters and that amount of posters showed to be a good number to place at Universities, schools, public offices, companies and NGOs. We are confident we would be able to place all of them again this time.--E-liana (talk) 04:16, 18 August 2013 (UTC)
- I add here my concern too. I agree in general with the budget but I would know if you have considered that the printing is connected with the yearly contest, if you don't distribute them, it's hard to reuse the material for other purposes. --Ilario (talk) 09:51, 19 August 2013 (UTC)
- EN:We have considered the logistics of the distribution of outreach materials, for which we have the support of various institutions that are supporting us to carry the contest. I would also add that costs of printing tend to be relatively higher when the amount is less, for example the cost of 500 posters usually reaches 80% of the cost of printing 1,000 posters, whereby the reduce the amount of printed posters not significantly reduce the amount of money required for printing.

Comments and questions
editThe proposed activities are intrinsically allied to the support of WMF sites via Commons images. The budget is modest, and I support the application and urge prompt action to allow this to get on the road.
- Thank you for the suggestions, they are all most welcome.--E-liana (talk) 04:49, 18 August 2013 (UTC)
Some questions:
- Could you complete this sentence, which seems to be a cut-and-paste error? "inclusion of 5 institutions related to heritage to help spread the word about the contest to".
- We have completed the sentence, hope it is understandable now. The idea is that we will make an effort to invite at least 5 patrimonialistic institutions as co/organizers of the contest, in this way we will gain stakeholders which are part of the patrimonialist national networks. We hope they will spread the call and other information of the contest within their specialiazed networks.--E-liana (talk) 04:35, 18 August 2013 (UTC)
- Thanks. Tony (talk) 06:25, 18 August 2013 (UTC)

- "Writing announcements for media (TV, newspapers, etc.)"—these will be in the manner of press releases, I guess. Do you have access to someone who knows who to do this, and if not, would you consider asking WMF grantmaking staff (and/or Iberocoop?) for advice and/or Spanish-language contacts? [As an aside, I do believe a WMF how-to-write-press-releases document for affiliated organisations would be a valuable part of our infrastructure.]
- A journalist is part of the coordination group for WLM, she will write the press releases. Of course, all suggestions are always welcome, so we will read the document you mentioned. --E-liana (talk) 04:46, 18 August 2013 (UTC)
- I don't think there is a movement-wide document. In that sentence I was suggesting that the WMF might consider producing one (in the future). Tony (talk) 06:25, 18 August 2013 (UTC)

- "Spread videos about free licenses related to the contest(cc-by-sa 3.0)"—unsure exactly what you mean: you will produce vids on WLM, or perhaps you do mean that you'll make existing vids in Spanish available ("spread").
- Actually, we will prepare some videos with Camtasia or some other software to record the screen activity in a computer. We have experienced preparin videos like those for training on wikipedia edition and they worked well in the past.--E-liana (talk) 04:46, 18 August 2013 (UTC)
- This is very interesting. Will it be suitable for dissemination to other Spanish-language WLM groups? I'll keen to read about your experience in producing the video, and its effects, in your report. Tony (talk) 06:25, 18 August 2013 (UTC)

- Will the offline events all be held in La Paz? I'm unsure how demographically concentrated Bolivia is, and whether your target participants are mostly within physical reach of the capital.
- Off-line events will be held at least in La Paz, El Alto, Cochabamba and Santa Cruz by people who are part of the coordination group for WLM and live in those cities.--E-liana (talk) 04:46, 18 August 2013 (UTC)
- My advice concerning the paper promotional materials: make them professional, and if you need to, reduce the number of types to pay for quality. On this matter, I presume your target participants in this printing and distribution activity wouldn't be reachable online, but have cameras, right? Will there be a process by which people without ready online access can receive assistance in uploading, or have it done for them?
- This is a very good question. We have scheduled both, online and offline events mainly in La Paz, but some in other cities as well. While people don't usually check their facebook and the rest of the Internet, they have access to it. For this year, our lists cover monuments located in cities mainly and there is a way for participants to do the uploading. Offering alternative ways to get people to upload pictures or to upload them for them can be a nice to have, and will certainly be kept in mind for next year's contest. Alhen (talk) 19:16, 18 August 2013 (UTC)
- EN:We have the support of an advertising agency that will be responsible for professional design and print monitoring, print and materials listed are top quality (posters:Couche matte, 120 grs., full color; flyer:Couche matte, 115 gr., full color, but for the flyer we also have considered the possibility of using bond paper instead of couche to get a greater amount without decreasing considerably the quality of the materials).
In the last meeting we had talked about preparing materials for distribution via email and social networks so that volunteers and others to print and photocopy for local distribution to those without internet access or in those places where we can not send the printed materials, we have previously done it with some meterials for Wikipedia´s Workshops (eg. http://wikimedia.org.bo/wiki/images/6/6e/Folleto_WK-Bo.pdf).

- It's good to see that there's a working group (I presume about six of you, who have already allocated these quite ambitious responsibilities among yourselves).

Framing costs
editThanks for this proposal. It's great to see so much community energy behind this! The proposal looks good to me, generally, but I'd like you to consider cutting the framing costs to about half. $1200 is a lot of money, and I'm not sure a 20-picture exhibition is twice as valuable as a 10-picture one. I'd be ready to approve this proposal if this change is made. Asaf Bartov (WMF Grants) talk 02:35, 20 August 2013 (UTC)
- I discussed cutting the framing and printing section of the budget by the half and everybody agreed that it shouldn't too much of a trouble to get 10 pictures printed only. We will probably agree on printing 5 and 5 but haven't talked about it yet. alhen Did you call, sir? 23:57, 20 August 2013 (UTC)
Report past due

Request for a change to the completion date and start date for our grant
editWe are requesting an extension of the project completion date for Wiki Loves Monuments Bolivia.
- The new proposed completion date will be 14 March 2014.
- We require an extension because we could not get the prizes on time due to personal reasons. We request that WMF also adjust the reporting schedule for our grant so that we have enough time to finish our final report.
- We still expect to gather attention over the projects with the prize event. The whole event has already been held and the winners were announced already, so the community in Bolivia still expects us to deliver the prizes and hold the final event. We have also got a higher response as that we expected in our measure of success that will be reflected in our report. Please also see our formal request for a change to the project budget below.
Sincerely, alhen Did you call, sir? 11:21, 7 February 2014 (UTC)
- Third prize and fourth prize will be given as one. We mentioned only 3 prizes for the first three winners, so the new prize will be $80.
- We expect the first prize to have a lower price, $295
- We expect for the special prize to have a higher price. $44
- We believe the rest of the prices along with the venue are within acceptable ranges, but will request a change if necessary.

Request for a change to the completion date and start date for our grant
editWe have troubles to find two of the winners, one of them is the 1st!!! some of the others winners are in others cities or countries, but they have representatives which we have in line. so we have to move dates for the space ( an university hall )to make the exposition and the prizing event. Coordinate this dates without the winners is the problem now, the hall have periods free and others with planified events. For this reason we´re searching a new date which we haven´t to move after, so we propose the 15 april, we hope finish it before but we prefer now be careful with that.
The budget for some items is changing, we will write about this this week because we´re paying some items.
We are working to complete our objetives. Thanks.--Caleidoscopic (talk) 18:48, 19 March 2014 (UTC)
