The target participants are focused specifically on educational audience at a local, regional and international level, inside and outside the Wikimedia community. The participants of this event don't need to have any minimum level of Wikimedia experience to engage in the conference activities.

The main objectives that were highlighted by the community to discuss and be part of the conference program are:

  • To promote and consolidate the positioning of Wikimedia projects as allies for academia and higher education spaces.
  • Develop a space for knowledge transfer, discussion and networking to promote the development of new educational strategies on topics like media literacy, digital access, disinformation and Wikimedia projects.
  • Identify strategic priorities for education and Wikimedia projects and strengthen alliances to develop a common work agenda, especially at the regional level.

The most important actions to achieve these objectives are:

  • Design a program focused on the community's priority issues that promotes learning, networking and capacity building spaces.
  • Generate participatory dynamics to encourage participants to feel comfortable to share their projects and experiences as well as to build networks to accompany initiatives within and outside the Wikimedia movement.
  • Develop different formats of presentations, round tables, discussion spaces, plenary sessions that allow us to learn from new experiences, identify priorities and opportunities and generate strategic alliances to promote future projects regarding Education and Wikimedia projects

Our work at local, regional and international level consists of accompanying the processes of social and digital inclusion from the Wikimedia movement. These inequalities, still very present in Argentina and the region, are priority topics for this congress: inequality in Internet access, technological devices, teacher training, etc. through Wikimedia projects. This congress is considered a key space to share and generate experiences within and outside the movement, with the support of academia and the educational community that allows working on the generation of strategies, sharing educational practices and building bridges to accompany local realities from a perspective of social and digital inclusion, in which the Wikimedia movement can be a great ally.

The event is intended to be open to participants from both inside and outside the Wikimedia Movement. For this we will carry out the following outreach strategies:

  • Open call through WMAR and UNLP's social media channels.
  • Open call for project applications from the academic community at national and regional level through the National University of La Plata.
  • Dissemination in national and regional media, especially media specialized in education.
  • Dissemination within the Wikimedia movement
  • Dissemination through allied organizations at national and regional level.
19. What will you do to make sure participants continue to engage in your activities after the event?

The conference is conceived as a meeting space in which we intend to bring together participants who are already developing educational proposals at the national level within the framework of our educational program. At the same time, the fact of holding the conference at the university allows us to bring together people who are researching, working and developing experiences related to education and digital cultures, in which learning and deepening about educational projects within the Wikimedia movement can open new fronts of collaborative work at national, regional and global level. We will also publish the results of the congress with the projects and papers presented by the educational community and we will deepen the support that the program has been providing to the national educational community by disseminating, accompanying and establishing a network among the different participating actors.

21. Do you have any proposed venue for the event?

The venue will be at the National University of La Plata in the building located in the heart of the city. The hotel belongs to the university and is located 5 blocks away from the venue. The airport is located 1 hour and 15 minutes from the hotel, and we will take arrange transportation for scholarship recipients. The venue for the event is provided by the university and have several spaces in the same building with Internet access.

23. How many scholarships would you like to offer?

We want to propose 25 full scholarships for regional and international applicants and 25 partial scholarships (to cover travel) for applicants from Argentina.

24. What expenses will the scholarship cover?

Full scholarships cover the flight ticket, transportation from the airport to the hotel, 4 nights hotel stay, 4 meals per day and medical insurance. Partial scholarships cover transportation within Argentina and meals during the congress (breakfast, lunch and snacks).

25. How will scholarship recipients be selected?

The scholarship application system will be divided into two formats and will be evaluated by the academic committee in charge of the selection process:

  • Presentation of academic papers and research projects related to the theme of the congress.
  • Presentation of projects and experiences developed within the Wikimedia movement.

The academic committee will be composed of 3 representatives from the National University of La Plata, 2 representatives from Wikimedia Argentina and 1 representative from the Wikimedia Foundation Education Team.

26. In which ways can Wikimedia Foundation staff support your event onsite?

We identify these areas of support:

  • Lead specific sessions of projects they are currently accompanying.
  • Some keynotes during the conference
  • Help and support for outreach and communication.

27. Please outline the roles and responsibilities of the organizing team for the conference.

The conference is organized as follows:

  • An organizing committee in charge of the logistics and planning of the event at the venue, managing the specific spaces for the conference, the necessary resources for its support (internet and infrastructure for 200 people) and catering, as well as coordinating the purchase of airline tickets, hotel accommodation, medical insurance, and the details corresponding to the management of scholarships.
  • An Academic Committee in charge of designing the criteria for the application to the congress and subsequent evaluation of the applicants. It will be in charge of designing the program, communicating the deadlines for the application, selecting the scholarship holders and confirming the speakers for the round tables, workshops and plenary sessions of the event.

In both cases, representatives from the University of la Plata & WMAR will be involved in both committees as well as in charge of the design of the congress identity, the creation of the code of conduct and the management of the event during the three days of the congress.

29. What kind of risks do you anticipate and how would you mitigate these?

Our main risk is linked to the level of our monthly inflation that varies from month to month and it is very difficult to foresee. In this sense, in order to mitigate the risk, the budgets consulted -especially catering, design and hotel- have frozen the price if we paid before the month of June 2023. In the event that payments are not made in June and the budget increases, we estimate the devaluation of the peso, which helps us to face higher payments in the future.

Another possible risk is related to the presidential elections that will take place this year in Argentina. This could imply possible delays in the times of our state counterparts

Considering that the elections will take place in August, October and November, it was decided to hold the conference in September, the only month in which there are no events directly linked to the elections at the national level. At the same time, holding the conference in a public university with a date already agreed with the institution ensures that the institution is responsible for holding the event during the election period. In this sense, the partnership is key to be able to sustain the conference and its development beyond the political context. At the same time, Wikimedia Argentina has developed international conferences in other years when there were elections in the country, and we have the experience of being able to organize an event in time to avoid stepping on the toes of the specific months when there are elections.
