WJS (from Andrew)

  • The reviewers for the oldest submission (Non-canonical base pairing, from January 2019) said they don’t have time to do a second review. Will solicit board members’ opinion on whether to send it to a new round of peer review or publish it.
  • One paper has been published so far in 2023. A few more submissions are undergoing revisions.
  • Published articles need to have their contents incorporated into WP pages.
  • Sections of the Survey on Internet Protocol version 4 (IPv4) paper will be added into the WP page. Talk page was informed of the upcoming change and others suggested to bring the contents into WP page in small increments. Suggest similar approach should be used whenever contents are brought into WP pages

WJH (no direct representative)

  • No update
  • Editorial board’s mailing list showed minimal conversation activity since September 2022

WikiJHum activity:

  • Piotrus’ application to become editorial board member has remained open since November 2022. With 6 support votes and 0 oppose (and no new votes since December), we agree to admit him into WJH board
  • Decision to continue WJH for now
  • Piotrus will reach out to editors and authors to assess the submission status

Inactivity policy

  • We began assessing inactive editors starting in January 2023
  • Reminders will be sent to those who are at risk of being deemed inactive

EduWiki Conference:

  • Andrew will be attending this conference in Belgrade, Serbia in May
  • Eric Youngstrom and Athikhun Suwannakhan both expressed in January that they might also be attending

Meeting schedule

  • Doodle poll to decide new time went inactive
  • Try again in 3 months
  • May require 2-3 reminders over the week to make sure people remember
  • Need the Board members at the meeting over the Tech Editors
  • May require fewer slot choices or different software to make response easier
  • May need to try schedule the two meetings on separate days if people are busy on a certain day

Increasing WikiJournal Visibility

  • Thomas: Looked into Editors with ORCHID ID and bookmarked for relevant fields
  • Ellen/Andrew: Wikimedian in Residence to increase University involvement in progress

WJH

  • Need a rehaul of the board
  • Very low activity
  • Piotre may be helpful to change the board

Additional updates WJS

  • Non-canonical base pairing submission status
    • Authors had replied to the comments. Thomas to determine if it needs a new round of review or if it can be sent to the editorial board for publication consideration
  • Currently there are 5 articles which require peer review coordinators. We expect editors to participate in peer review process. Andrew to send an email asking for board members’ interest. If there is insufficient interest, Andrew will assign articles to the editors directly.
    • Some feedback saying emails specifically addressed to person may be more likely to respond
  • Currently Editors are Mainly Andrew and Thomas
    • Hard to deal with large influx at 1 time
  • Need to reach out to editors to take on articles at stage 1
  • Non-chemical base pairing article is from January 2019
    • Reached out to the reviewers and they do not have the time to do the 2nd check - what is the action plan - editorial board needs to make a decision

Brining in additional submissions

  • Contacted individuals with ORCid on their user page. This resulted in a few submissions to WJS
  • Solicit submissions from universities and at EduWiki Conference

Roles & activities to allocate

  • Prioritize transparency and open applications
    • Email out details this weekend (TS)
    • If multiple people want a role, open vote
  • CEO / Exec Director (½ day per week)
    • Applications open to editorial board members of each journal
    • Thomas puts self forward as candidate
  • Admin Assistant (½ day per week)
    • Applications open to tech editors
    • Suggested based on previous/current activity: Ellen Sussman
  • 3 Project Coordinators (Stipend; no specific time allocation) - Handling Editors
    • Applications open to editorial board members of each journal
    • Suggested based on previous/current activity as shepherd of the in-review pipeline:
      • WJS = Andrew Leung
      • WJM = Roger Watson
      • WJH = no clear frontrunner?

Budget going forward

  • Assess the roles at the end of the calendar year to see if more or less help is required
  • Expenses: Foundation myself recall the amounts of funding if it is not used

Workmarket and Payments

  • API Integration is still in waiting
  • Not currently in use but still in contact
  • Subscription has not been started until API completed - look into starting without API
  • Workmarket is being set up
  • Outstanding payments:
    • Okay for now working with a few editors specially

Other meeting notes

  • Currently not doing well on reincorporation contents back onto Wikipedia
    • Would be good for the Wiki Community - to show our impact
    • Need more Wiki Experienced People to do this
    • May need to make a protocol on how to do it to assure rights are respected and licensing
    • Thomas, Michael, Andrew (Ian?) (Piotre?) all have lots of experience on Wikipedia and may be able to help with this
    • Do we have a role or many people to do this task?
      • Could have an editorial assistant role?
      • Board Member would have to approve but assistant could execute
  • Andrew has been approved for the Wiki Conference in May
    • Good target for Educators
