Hi Hinayoshi, and thanks for your submission for this editathon at the Yamanashi Prefectural Library. Thank you for doing some outreach with active Wikimedians across Japan, and for your focus on working on article topics local to the prefecture. The library seems like a fantastic venue for the event, and it sounds like you are interested in building a collaborative relationship with the institution in the future. Small events like these are a good way to start. I have a few questions/comments about the proposal:

Hi I JethroBT (WMF), and Thank you your response. I am very glad your reply. I organized Wikipedia editathon twice as a lecture of the Tsuru university in Yamanashi, 2015, 2016. I and my students excited to wikipedia edit. --Hinayoshi (talk) 05:06, 18 April 2017 (UTC)Reply
  • The proposal states that のりまき and さかおり will be leading the event. Would it be possible for them to leave a note here or on the grant proposal itself acknowledging their roles in this event? They can leave a message in Japanese or in English.
I told のりまき and さかおり to leave a note. Please wait a few minnits. --Hinayoshi (talk) 05:06, 18 April 2017 (UTC)Reply
I am a Japanese Wikipedia user (Sakaori). I agree with the holding of Wikipedia editathon in Yamanashi 2017 planned by Hinayoshi. I will support and manage as leader of the editing group at this event. Thank you.--さかおり (talk) 06:03, 18 April 2017 (UTC)Reply
(I appreciate your replies and explanation.) I am glad to hear both of you will be leading the event. Thank you for your support. I JethroBT (WMF) (talk) 20:31, 18 April 2017 (UTC)Reply
  • Could you provide a brief explanation of how you've estimated the travel costs to Kōfu? I used Hyperdia to estimate some of the travel costs between Kōfu and some of the places, and the roundtrip costs seem much lower that what is being estimated here. For example, the proposal is budgeted for ¥20,000 of travel expenses for each person coming from Tokyo or Yokohama. Using Hyperdia, the usual cost of one-way travel between Tokyo or Yokohama and Kōfu is around ¥4130, so a roundtrip would be around ¥8260. Are there other travel-related expenses being included in the budgeted amounts?
Hotel cost (one overnight) is included in this travel costs. Hotel cost is about 10,000 YEN, 100USD. I added to the plan this hotel costs. --Hinayoshi (talk) 05:06, 18 April 2017 (UTC)Reply
@Hinayoshi: Understood. Thanks for this clarification and for the changes on the proposal. I JethroBT (WMF) (talk) 20:32, 18 April 2017 (UTC)Reply
  • I noticed you budgeted for soft drinks for the event. Having run some edit-a-thons in my capacity as a volunteer, I would also recommend budgeting for food if possible, especially if the event is intended to run for several hours. Some libraries do allow food in specific areas. The Yamanashi Prefectural Library may not, but you could also take a short break to have a meal together outside the library.
Thank you your offer. The field work is included in this edit-a-thon. The editors and participant will eat everywhere during the field work. --Hinayoshi (talk) 05:06, 18 April 2017 (UTC)Reply

Thanks again for your proposal, and let me know if I can clarify any of my questions or comments. I JethroBT (WMF) (talk) 19:39, 17 April 2017 (UTC)Reply

@Hinayoshi: I have some other comments around the travel and accommodation aspects of the budget. There appear to be some contributors who are interested in participating in the event, but are not close to Yamanashi Prefecture.

@I JethroBT (WMF): Thank you your reply. I have Tsuru Univ. research funds. If the budget is not enough, I plan to spend the shortfall from this fund.
  • We can fund travel and accommodations expenses for individuals who are leading or helping to coordinate an event (in this case, のりゆき and さかおり). However, we cannot cover the cost of accommodations for all other experienced editors. When you get a chance, could you only include the accommodation costs for those leading the event in the budget?
I understood. He is no need for accommodation expenses. のりまき only needs accommodation. I change plan. Thank you. --Hinayoshi (talk) 01:23, 20 April 2017 (UTC)Reply
@I JethroBT (WMF): Now, we discuss this plan. Please wait next reply. thanks --Hinayoshi (talk) 06:51, 20 April 2017 (UTC)Reply
@I JethroBT (WMF):I discussed travel expenses in my community. In the event, experienced editors are not just one participant. All 8 experienced editors lead the event. And, One of the aims of this event is to look at model performance by experienced editors. We invite them and expect to see their editing methods. So, please allow me to pay the accommodation fee of experienced editors from the budget. Thanks --Hinayoshi (talk) 00:30, 21 April 2017 (UTC)Reply
  • Furthermore, the event is estimated to have an attendance of 30 people (including the experienced editors). I think it's a good idea to invite experienced editors, but given the estimated attendance, I'm confident you can have a successful event with fewer than eight experienced editors attending. What do you think about reducing the number of experienced editors whose travel would be funded? Are there some contributors who have specific skills needed for the event?
If I edit one theme, I think that the event will succeed even by eight or fewer editors. But, I'd like to prepare two examples of group editing skills, We will divide the editors into two teams and will edit about two themes. So it is difficult to reduce the number of experienced editors.

Thanks, I JethroBT (WMF) (talk) 07:24, 19 April 2017 (UTC)Reply

Thanks too --Hinayoshi (talk) 01:23, 20 April 2017 (UTC)Reply

Hi, I JethroBT.

I will explain the background about this editathon.(translated by User:Takot)

"Wikipedia Town" project is expanding across Japan. This is a project consisting of town strolling, photoshooting and editathon using materials prepared in a library, lead by NPOs or civic-tech supporters to aim for promote libraries or towns where such events held.

Started on International Open Data Day in 2013, 37 Wikipedia Towns took place even in 2016 alone. Not only independent Wikipedia Town events themselves, but there were also a summit sharing outcome of Wikipedia Towns all over Japan, and a workshop for librarians who want to hold it.

Usually at least one Wikipedia editor involves the preparation from the planning stage, to have a lecture and to support participants how to edit articles on site. Recently, it is not uncommon that several Wikipedians support the events.

Under these circumstances, communications between Wikipedia editors got started, who usually focus on writing articles mainly. As for admins, they have an email list and have held offline meetups. And admins and early-joined contributors planned a big event such as Wikimedia Conference Japan 2009. However, most of contributors do not prefer being social and being at a public place, at least on Japanese Wikipedia. This is the very first event for Japanese Wikipedia where such hesitating-to-be-public contributors get to a public place and collaborate voluntarily.

We would like top-class contributors of all time of Japanese Wikipedia history to collaborate each other and to make it happen as a public event. Participants who already have experience for contributing Wikipedia before can learn a lot about writing ability, their frame of mind and load sharing at collaboration. Participants who never edited Wikipedia before can learn how Wikipedia's editing works, which still not be wholy trusted and considered "anonymous" exsistence. It will be a demonstration of how to edit it and can promote participation and more views. Overall, "Experienced Editors" in this event are equivalent to speakers at panels.

thank you.--Ks aka 98 (talk) 15:15, 20 April 2017 (UTC)Reply
