Hello PANKAJ DEO and Maithili Wikimedians, thanks so much for submitting this grant proposal. We are excited about your plans to facilitate and support the communication between different Wikimedia affiliates in the region and also organize meetups for the Maithili Wikimedians.

However, after reviewing your proposal, we think that it is generally unclear. Your goals, activities, and the need to have such meetups are not well described. It seems that you are planning to organize a mixture of everything: workshops, editathons, meetups with community members and affiliates in the region, training sessions for Wikisource, Wikipedia, and other sister projects, which makes the proposal and project impact unclear.

Additionally, we have recently funded another grant request by your group which has overlapping goals and activities. It seems that some sections are just copies of your funded grant application which is concerning to us. Finally, the budget request seems to include everything with no clear distinction between proposed activities.

We are sending the application back to you and offering you another opportunity to describe the proposal, activities, and desired outcomes. We will not be able to fund the grant request, if after resubmission of the application the concerns described above are not addressed.

Here are our recommendations regarding the application and project:

  1. Focus on a few activities and projects and don't include everything in a single application.
  2. Clearly define these activities in the proposal. Provide a timeline document which would list all activities with details about how, when, where, and how many different activities you are planning to implement.
  3. Define goals and desired outcomes for each activity group. Adjust the budget file accordingly, separate different projects/activities in different sections.
  4. In the team section, make it clear who will receive salary and what activities will they carry out.
  5. Describe how this project is different from your recently funded grant proposal.
  6. Even though you have notified your community on the village pump, we could not see any proactive steps to engage the broader community. It is your responsibility to communicate the grant request to all community members through all community channels, understand their needs and discuss all activities with them.

We would also like to bring to your attention that there is a limit on how much funds you can get through Rapid Funds. Wikimedia groups and affiliates Rapid Fund limit is 10,000 USD per fiscal year of Wikimedia Foundation (e.g. July 1, 2023 - June 30, 2024). This is an important guideline to consider for your future grant requests.

I'm sending the application back to you and offering you one last time to submit a clear and comprehensive project plan, where the project change, goals, and activity details are clear. You can find the details below:

Hi DSaroyan (WMF), Thank you very much once again for giving us time to make appropriate changes to our grant proposal.
We have uploaded the project timeline and budget sheet in fluxx and made some minor changes. please take a look and here we go with our following explanation of your above questions.
1. The grant proposal is proposed and focused to organize Inter-Community Wiki Meetup, which is a three days event, where we are focused on discussion with visiting affiliate members to know closely about each other, exchange our best practices module and wiki related knowledge. Besides that, we are going to organize a Photowalk event with the local photography team, WikiWomen Meetup and Gala Dinner event. We think these activities support our movement and help us to build solid relationships with visiting affiliates.
2. We have uploaded the timeline sheet on fluxx where we have mentioned how, when and where we are going to organize these activities.
3. Updated, please check the metrics and budget sheet.
4. The recent project is basically focused on boosting the Maithili Wikimedian team members, organizing Workshops, Meetups, talking with different stakeholders and motivating college students to make them aware about Wikimedia projects.
5. As we have mentioned that we have not yet chosen the affiliate for the Inter-Community Wiki Meetup. After the approval of this project we will internally decide the affiliate and then we will inform them on appropriate channels.
6. We have uploaded the updated detailed breakdown budget sheet.
