GoalEdit

Wikimedia Start Republic of Srpska 2016 is an event organized by the official user group Wikimedians of Republic of Srpska which will be held in the city of East Sarajevo during January 2016. Event consists from two-day activities. First day will be dedicated to activities regarding celebration of Wikipedia 15th birthday while the second day will be reserved for conference. Second day activities, Wikimedia Start conference 2016 that is, imposed itself as a good idea for implementation of multiple goals overlapping with general Wikimedia strategy and strategy for development of Wikimedia Community in Republic of Srpska. Given that complete communication so far between different members of community from Republic of Srpska was restricted to online conversations, Wikipedia birthday celebration will be first actual opportunity for personal introductions and communications for majority of community members and interested users. Aiming to rationalize our expenses and improving quality of the occasion, we decided to organize the conference within birthday celebration preparations. Celebration itself will take place on January 15th 2016. Birthday will consist from cocktail reception followed with suitable program focusing on Wikipedia, its founding, development, influence and importance.
Conference will be held day after, on the 16th of January. Participants of the conference will be Wikimedians from different parts of Republic of Srpska together with students from different study programs of Faculty of Philosophy from East Sarajevo and for other interested participants (like wiki users). Program of the conference aims towards introducing Wikimedia projects with the participants and new potential users.
Outlined activities aim to:
Day 1 (Wikipedia Birthday)
  • Promote Wikipedia and emphasize its importance;
  • Promote Wikimedia;
  • Inclusion in global manifestation of Wikipedia 15th birthday celebration;
  • Strengthening of Wikimedia Community capacities in Republic of Srpska and city of East Sarajevo as one of the larger centers in the state;
  • Encourage new volunteers for participation in Wikimedia mission promotion;
  • Positive public effect through media coverage in Republic of Srpska and creation of good foundation for further projects in our region where Wikimedia and its projects will be recognized as positive and meaningful;
Day 2 (Conference Wikimedia Start 2016)
  • Wikimedia and its projects promotion through conference participants’ introduction with guiding principles and most important achievements;
  • Popularization of Wikipedia and its opportunities by highlighting its multidisciplinary nature for the target audience;
  • Recruitment of new Wikipedia users and editors through introduction to Wikipedia environment and article management;
  • Wikimedia Commons popularization through group introduction to the project, its possibilities and importance;
  • Recruitment of new Wikimedia Commons users through introduction to WC environment and use;
  • Target audience familiarization with CC licenses with accent on their importance;
  • Wikimedia community in Republic of Srpska capacity building through exchange of new ideas and shared activities on improvement and implementation of already planned project ideas in Republic of Srpska;
  • Improvement of already existing Wikimedia community from Republic of Srpska members cooperation;
  • Improvement of already attained capacities of Wikimedia community of Republic of Srpska through positive influence on enthusiasm of current members
  • Encourage new volunteers for participation in Wikimedia mission promotion;
  • Positive influence on general public in Republic of Srpska with aim to create a healthy foundation for future projects in our region where Wikimedia and its projects will be recognized as positive and meaningful;


PlanEdit

Wikipedia birthday and follow up conference planning started mid October. Organizational team, incharged with logistics and preparations was chosen. Through disscussion with community members main areas of interest were recognized and used as foundation for program creation. Since mid October, team had conntaced several hotels with intention of acquiring information regarding accomodation and catering. Suitable location was chosen for planned activities. Before this hotel was chosen, we disscussed possible discounts for our event with the managment. Majority of necessary equipment is already acquired. Promotional material is being prepared for printing. All lecturers have confirmed their participation and part of the presentations have been already completed. General public announcement has been completed and will be forwarded to the media before the birthday itself. Event logo has been designed and complete agenda has been approved. In stage of preparation are informative materials on program themes which will be provided to the participants prior to the conference so they could acquant themselves with it. Menu of the catering is in the finishing stage. Birthday cake appearance has been chosen.

Program:

Wikipedia Day: During 4 hrs there will short video projection about Wikipedia. There will be 3 presentation (one about Wikimedia, one about Commons and CC issue and one about our projects). After it, there will be 15-20 individuals who will try editing Wikipedia where one of us will show how to write short article from the start. After, those that want to try themselves at editing will be quided by one of the group members. Also, 3 wikipedians will talk about their experience at Wikipedia. So far, two journalists expressed interest in interview and to cover Wikipedia 15 event (one of them is reporter of national TV station) so we have taken into account interview with the attending media. Furthermore, we will suggest to the attendees to open accounts on some of Wiki projects and will provide advice which Wiki project could suit their needs and interests. Based on their preferences concerning their choice we will offer them participation in concrete activities.
Conference Day: During disscussion inside the community, organizational team gathered opinions and wishes concerning the program and formulated a wholesome program based on those inputs. Besides the inital adress to the guests and their introduction with Wikimedia mission, vision and its programs, program of the conference follows up with complex programs such as Wikipedia implementation in schools, GLAM presentation and photo projects presentation. Besides lectures, part of the conference will be dedicated to a panel where more experienced wikipedians will share their experiences in Wikipedia editing and generally work with Wiki projects, its importance and will give pariticipants a peek at internal workings of Wikipedia, its articles and tools used in their creation. Part of the conference will be dedicated to disscussion on guidelines and editorial rules after which a short demonstration on use of visual editor and Wikimedia Comons photo upload will follow. Conference will also cover the basics of licences.

ActivitiesEdit

Aiming to successfully realize the conference and set goals for Wikipedia birthday celebration, implementation of planned activities shall be divided into three phases: before, during and after the event. Planned time frame for completion of all activities stretches from 1st of December 2015. to 10th February 2016.

BEFORE THE EVENT (1st December 2015 – 15th January 2016)

Before conference begins, 7 week preparations will be conducted. This time is dedicated to finalization of activities outlined in the further text:

  • Organization team selection;
  • Consultations with Wikimedia Foundation
  • Grant request formulation
  • Contacting Wikimedia Foundation Committee members with proposal for their participation in the conference program via Skype;
  • Press material preparation;
  • Video material preparation;
  • Presentation creation;
  • Suitable location selection;
  • Suitable accommodations selection;
  • Location and accommodations reservation;
  • Catering services reservation;
  • Wiki-cake acquisition;
  • Participants invitation;
  • Wikimedia Community of Republic of Srpska site official notification on the event;
  • Page creation on Serbian Wikipedia;
  • Notification placement on locations designed for that purpose on Wikipedia;
  • Event promotion on social networks;
  • Communication with media regarding the event;
  • Physical preparation of the location;
  • designing and printing brochures.
DURING THE EVENT (15th and 16th January)
Day 1 (Wikipedia birthday celebration – 15th January)
  • Appropriate speech;
  • Movie projection regarding Wikipedia;
  • Maintaining pleasurable atmosphere for the guests;
  • Encouraging guest communication;
  • Media activities
Day 2 (Wikimedia Start 2016 Conference – 16th January)
  • Completion of tasks directly connected with goal of the conference during all lectures;
  • Precise and professional conduction of lectures in accordance with prepared plan;
  • Interaction with participants;
  • Question and answers segment for participants questions;
  • Media activities;
  • Creation of positive atmosphere;
AFTER THE EVENT (16th January – 10th February 2016)
  • Questionnaire for participants regarding their experiences from the conference and their interest in further work and use of Wikimedia projects;
  • Report writing and its placement on Meta.

What crucial thing will the project try to change or benefit in the Wikimedia movement? Please select the Wikimedia strategic priority(ies) that your project most directly aims to impact and explain how your project fits. Most projects fit all strategic priorities. However, we would like project managers to focus their efforts on impacting 1–2 strategic priorities. Examples of strategic priorities can be found here.

This project will have direct influence on partnership creation and Wikimedia community expansion in one of the larger regional centers of Republic of Srpska. Besides, project will influence popularization of Wikimedia projects and Wikimedia mission while strengthening cooperation between members of Wikimedia community from Republic of Srpska. Given the fact that Wikimedia community of Republic of Srpska was recently recognized as an official group, necessity for a more energetic approach to activities in the local area arose so community could be prompted towards further growth through citizen introduction to Wikimedia and its projects but through inclusion of new members as well. Due the circumstances in which Wikimedia community in Republic of Srpska finds itself, need for community capacity expansion through promotive events of this sort emerges as a crucial necessity. Taking into account the nature of the event, significant media coverage and large number participants, conference strives to achieve positive influence regarding the community enlargement and inclusion of new users.

Measures of successEdit

Please provide a list of both quantitative and qualitative criteria that will be used to determine how successful the project is. You will need to report on the success of the project according to these measures after the project is completed. See the PEG program resources for suggested measures of success. In this moment our group have 35 members (20 had an activity in the last 3 months)

  • 40 participants (20 on Day 1, 20 on Day 2); 32 unique participants: 8 people will participe both days
  • at least 4 attenders will use Visual Editor (we will do a survey a few weeks after the conference to find out how many people are now using those tools)
  • 10 media announcements;
  • >5 new community members;
  • 50-100 Facebook followers/page likes;
  • at least 2 new collaborations with teachers/students,
  • at least 4 new collaborations between volunteers;
  • Stronger community;
  • >3 new users will become active members in next 3 months (active member is a member who will be active on some offline activities, who will leading online projects or will be an active editor on a Wiki project.

Note: In addition to your project-specific measures of success, you will also be asked to report on some global metrics at the end of your final report. Please keep this in mind as you plan, and we'll support you as you begin your project.

Wikimedians of Republic of Srpska constitute the officially recognized group of users and editors of Wikimedia projects in Republic of Srpska. Official name of the group is Wikimedia Community of Republic of Srpska. Community is conceptualized and founded as a non-governmental, non-profit and non-party oriented group which achieves its goals in exclusively non-profit manner. It was officially recognized on 6th of October 2015, but from 2013 there is progres and projects. Wikimedia community of Republic of Srpska currently has 25 members. Group has already finished one photo-competition project called “Traces of Soul”, two educational projects with 7 workshops and 1 photo tour. Project in cooperation with local media called “My knowledge is the measure of my worth” is currently ongoing. Group had over 20 internal meetings and has already participated in events on international level. Earlier experiences acquired during project implementation on the territory of Republic of Srpska show that more serious obstacles are general unawareness and lack of information so events like this one represent crucial element in formation of strong foundation for later work and projects, but for Republic of Srpska Wikimedia community building as well.
Project will be realized by organizing team, voted by the Community as most fitting due to their experience and territorial distribution.
In charge of project organization and realization are:
  • Bojana Podgorica, professor of classroom teaching and art manager in theater, Wikimedia community member since 2010. Organizer of several workshops and editorial marathons. Organizer and coordinator of photo-competition “Traces of Soul”, founding member of Wikimedia user group in Republic of Srpska.
  • Ljubiša Malenica, member of the Wikimedia community since March 2015. Has experience in organization of conferences and meetings. Holds title of Master in International relations and diplomacy. Participant of the “Traces of Soul” project.
  • Radenko Djoković, experienced member of Wikimedia since 2013. Author of over 1000 articles and more than 15.000 edits. Participant of the “Traces of Soul” project. Finished Faculty of Economy and later on Informatics.

RisksEdit

There are no serious risks that would influence realization of the project. However, it may happen that
  • the teachers will come to the event, but we will not lead the new Edu programs. To minimize that risks, we will propose a meeting with teachers, very quickly after the conference and we will propose concrete models of cooperation.
  • too many teachers will want to start an education program. To minimize that risks, we will selected in the first round, the most 'promising' teachers.
