(English) Thanks to the celebration session with the communities, several of them offered a representative picture of the state their community is in, the achievements they have reached in these 20 years and the challenges and projects they face in the future. The fact that it was a multilingual session exemplified the diversity of our movement and the work being done to make it more visible.

(English) The celebration was structured around three different sessions: one dedicated to celebrating with cultural institutions, one celebrating with the various linguistic communities in Spain, and one for the community at large, regardless of their experience or project in which they collaborated.

What worked well at the event?

(Spanish) En términos generales, consideramos que el evento fue ampliamente exitoso. Hubo una serie de retos y contratiempos que hubo que afrontar durante la organización del mismo, pero desde la respuesta de las instituciones o la retransmisión de las sesiones hasta la participación y el impacto en los medios, supuso una celebración que, adaptada a las circunstancias actuales, ofreció a la comunidad y a la sociedad un espacio donde juntarse y celebrar este hito de Wikipedia.

(English) Overall, we consider the event to have been largely successful. There were a number of challenges and setbacks that had to be faced during the organization of the event, but from the response of the institutions or the streaming of the sessions to the participation and the impact on the media, it was a celebration that, adapted to the current circumstances, offered the community and society a space to come together and celebrate this milestone of Wikipedia.

Programme

(Spanish) El programa del evento se elaboró a finales de 2020 y en su planificación y ejecución podemos diferenciar varias fases: encuesta a la comunidad, configuración del programa, ejecución del programa y evaluación.

(English) The event program was developed in late 2020 and in its planning and execution we can distinguish several phases: community survey, program design, program execution and evaluation.

Surveying community

(Spanish) Previo a la elaboración del programa, enviamos una encuesta a nuestros socios y otras comunidades Wikimedia en España con el fin de recoger su opinión sobre las prioridades de cara al aniversario de Wikipedia. Obtuvimos respuesta de comunidades lingüísticas en español, catalán, gallego, euskera, gallego, asturiano e inglés, así como grupos que trabajan para reducir la brecha de género.

A partir de sus respuestas, las celebraciones deberían centrarse en dar visibilidad a la diversidad de la comunidad de Wikipedia, ayudar a conectarse entre sí, y dar a conocer Wikipedia y cómo participar en el proyecto. Sus sugerencias incluían una fiesta virtual, un video conmemorativo, encuentros temáticos, campaña en las redes sociales y medios de comunicación.

(English) Prior to the development of the program, we sent a survey to our members and other Wikimedia communities in Spain in order to gather their opinion on the priorities for Wikipedia's anniversary. We received responses from language communities in Spanish, Catalan, Galician, Basque, Galician, Asturian and English, as well as groups working to close the gender gap.

From their responses, celebrations should focus on giving visibility to the diversity of the Wikipedia community, helping to connect with each other, and raising awareness of Wikipedia and how to participate in the project. Their suggestions included a virtual party, a commemorative video, themed meetings, social media campaign, and mass media.

Shaping the programme

(Spanish) En la configuración y preparación de los distintos aspectos del evento participaron cuatro personas, dos de la junta directiva y las dos personas del staff, que se coordinaron a través de varias reuniones en línea y una constante comunicación vía teléfono y Telegram. Todos estos preparativos supusieron cuatro líneas de trabajo diferentes: una por cada sesión (instituciones culturales, comunidades y salas temáticas) y comunicación.

Para la celebración con instituciones culturales, entre todas con las que hemos colaborado en estos años seleccionamos cinco, que representaban distintos tipos de ellas, tanto en tamaño como en alcance geográfico y temática: Fundación Joaquín Díaz, Museo de la Ciencia de Valladolid, Biblioteca Nacional de España, Museo Arqueológico Nacional y Embajada de Suecia en España. Todas ellas recibieron nuestra propuesta con entusiasmo y aceptaron participar mediante una ponencia durante la sesión.

En la celebración con las comunidades buscamos contar con representantes de las distintas comunidades lingüísticas o grupos presentes en España, además de la Fundación Wikimedia, y finalmente aceptaron nuestra propuesta María Sefidari, por parte de esta última, y representantes de asturiano, euskera, gallego, catalán y español. Se trataría de una ponencia y un posterior momento tarta de cumpleaños, en el que todas las personas tuviesen una tarta o algún otro producto con una vela para soplar. Hubo un contratiempo a última hora, ya que el representante de asturiano, por motivos laborales, no podría intervenir en la sesión; por tanto, y dada la urgencia de la situación, grabamos su presentación el día anterior y esta se emitió durante el evento. Así mismo, pensamos en esta sesión como un evento multilingüe, en el que cada representante hablase en su lengua materna; para ello se pensó en realizar una traducción simultánea, para que el resto del público pudiera seguirles sin problema.

Para la sesión de salas temáticas, decidimos que fueran un total de cinco. Los temas se seleccionaron a partir de opiniones de socios, vía lista de correo u otras vías de comunicación, y finalmente fueron educación, brecha de género, medio rural, desinformación y calidad. Se buscaron moderadores para cada una de las salas, de cara tanto a preparar una serie de cuestiones a plantear y gestionar las intervenciones que tuvieran lugar durante las mismas como a estar al tanto de que no hubiera ningún problema de seguridad.

En cuanto a comunicación, se lanzó una página web dedicada exclusivamente a las celebraciones del aniversario, en la que se incluye la agenda y enlaces para participar en las distintas sesiones del 15 de enero, algunos de nuestros últimos post en el blog, material y sugerencias para celebrar el aniversario en redes sociales y un video conmemorativo. También se diseñó un banner presente en todo nuestro sitio web y activo durante las semanas previas y posteriores al evento, como llamada de atención y destino en la página de aniversario.

Para la realización del video, se preparó un texto de celebración y se contactó con un numeroso grupo de personas pertenecientes tanto a Wikimedia España como a otras comunidades del país; durante dos jornadas, y a través de videollamada, cada persona leía dicho texto y al final, con la contribución de todas ellas, se realizó el montaje final, lleno del positivismo y celebración que queríamos transmitir a nuestra comunidad y a la sociedad.

Por otro lado, tanto para el lanzamiento de la web como para la difusión de las celebraciones, se encargó el diseño de una serie de materiales. Estos se inspiraron en los materiales publicados por la Fundación Wikimedia, de cara a la celebración del aniversario, y se usaron, por ejemplo, en las capturas de la retransmisión de las sesiones o en la difusión a través de nuestras redes y del mailing a instituciones.

(English) The configuration and preparation of the different aspects of the event involved four people, two from the board of directors and the two staff members, who coordinated through several online meetings and constant communication via telephone and Telegram. All these preparations involved four different lines of work: one for each session (cultural institutions, communities and thematic rooms) and communication.

For the celebration with cultural institutions, among all those we have collaborated with over the years, we selected five, representing different types of institutions, both in size and in geographical and thematic scope: Joaquín Díaz Foundation, Science Museum of Valladolid, National Library of Spain, National Archaeological Museum and Swedish Embassy in Spain. All of them received our proposal with enthusiasm and agreed to participate with a presentation during the session.

In the celebration with the communities we sought to have representatives of the various linguistic communities or groups present in Spain, in addition to the Wikimedia Foundation, and finally accepted our proposal Maria Sefidari, on behalf of the latter, and representatives of Asturian, Basque, Galician, Catalan and Spanish. It would be a presentation and a subsequent birthday cake moment, in which everyone would have a cake or some other product with a candle to blow. There was a setback at the last minute, as the representative of Asturian, for work reasons, could not intervene in the session; therefore, and given the urgency of the situation, we recorded his presentation the day before and this was broadcast during the event. Likewise, we thought of this session as a multilingual event, in which each representative would speak in his or her mother tongue; for this reason we thought of simultaneous translation, so that the rest of the audience could follow them without any problem.

For the thematic room session, we decided to have a total of five thematic rooms. The topics were selected based on the opinions of members, via mailing list or other means of communication, and were finally education, gender gap, rural environment, disinformation and quality. Moderators were sought for each of the rooms, in order to prepare a series of questions to be raised and manage the interventions that would take place during the meeting, as well as to ensure that there were no security problems.

In terms of communication, we launched a website dedicated exclusively to the anniversary celebrations, which includes the agenda and links to participate in the various sessions on January 15, some of our latest blog posts, material and suggestions for celebrating the anniversary in social media and a commemorative video. A banner was also designed to be present throughout our website and active during the weeks before and after the event, as a call-to-action and destination on the anniversary page.

For the realization of the video, we prepared a text of celebration and contacted a large group of people belonging to both Wikimedia Spain and other communities in the country; during two days, and via videocall, each person read the text and at the end, with the contribution of all of them, the final montage was made, full of positivity and celebration that we wanted to convey to our community and society.

On the other hand, both for the launching of the website and for the dissemination of the celebrations, we commissioned the design of a series of materials. These were inspired by the materials published by the Wikimedia Foundation for the anniversary celebration, and were used, for example, in the captures of the retransmission of the sessions or in the dissemination through our social media and mailing to institutions.

Executing the programme

(Spanish) Las celebraciones tuvieron lugar a través de tres sesiones. La primera, dedicada a celebrar el aniversario con instituciones, fue por la mañana y se retransmitió en directo a través de YouTube. En ella, además del saludo inicial por parte de WMES, intervinieron cinco representantes de instituciones que ofrecieron, a través de su intervención, una visión general sobre la importancia de compartir conocimiento libre y sobre su experiencia con los proyectos Wikimedia. Fue una sesión muy emocionante, en la que no faltaron momentos reseñables como cuando la directora del Museo de la Ciencia de Valladolid sugirió la inclusión de la palabra Wikipedia en el diccionario de la lengua española, o cuando el principal patrono de la Fundación Joaquín Díaz mostró su deseo de que decenas de miles de archivos de audio estuvieran en Commons antes de que él falleciese.

La segunda sesión fue la celebración con las comunidades. Tuvo lugar por la tarde y también se retransmitió en directo por YouTube. Después del saludo inicial por parte de WMES, intervinieron María Sefidari, en nombre de la Fundación Wikimedia, y representantes de Wikipedia en asturiano, euskera, gallego, catalán y español. Cada ponente pudo hablar en su lengua materna y para que el resto de personas pudiera seguir su presentación, se expuso en pantalla el texto de la misma en formato bilingüe, en español y en el idioma de cada intervención. Era la primera vez que organizábamos una sesión multilingüe y estamos muy satisfechos con el resultado final, ya que consideramos que este tipo de acciones facilitan la inclusión de otras comunidades, y visibilizan su labor así como la diversidad de Wikimedia en nuestro ámbito más cercano. Después de sus intervenciones, cada persona tenía un pastel o tarta con una vela y, conjuntamente, soplaron las velas por el 20 cumpleaños.

Por último, y justo a continuación de esa sesión, tuvo lugar el encuentro de salas temáticas. Se celebró a través de Zoom, y una vez dada la bienvenida a todas las personas, se organizaron cinco grupos reducidos de Zoom, cada uno de los cuales se dedicó a una temática diferente. En total participaron 113 personas; 28 en la primera sesión, 40 en la segunda y 45 en la tercera. Esta forma de trabajo, con la posibilidad de integrar las diferentes salas temáticas dentro de la aplicación, permitió a los asistentes elegir la sala a la que quería asisitir y cambiar si fuese necesario, a otra.

(English) The celebrations took place in three sessions. The first, dedicated to celebrating the anniversary with institutions, took place in the morning and was streamed live on YouTube. In it, in addition to the initial greeting by WMES, five representatives of institutions intervened and offered, through their speech, an overview of the importance of sharing free knowledge and their experience with Wikimedia projects. It was a very touching session, which included notable moments such as when the director of the Science Museum of Valladolid suggested the inclusion of the word Wikipedia in the dictionary of the Spanish language, or when the main trustee of the Joaquín Díaz Foundation expressed his wish that tens of thousands of audio files would be on Commons before he passed away.

The second session was the celebration with the communities. It took place in the evening and was also streamed live on YouTube. After the initial greeting by WMES, Maria Sefidari, on behalf of the Wikimedia Foundation, and Wikipedia representatives spoke in Asturian, Basque, Galician, Catalan and Spanish. Each speaker was able to speak in their mother tongue and so that the rest of the people could follow their presentation, the text of the presentation was displayed on the screen in bilingual format, in Spanish and in the language of each intervention. It was the first time we organized a multilingual session and we are very satisfied with the final result, as we consider that this kind of actions facilitate the inclusion of other communities, and make visible their work as well as the diversity of Wikimedia in our closest environment. After their interventions, each person had a cake with a candle and, together, they blew out the candles for the 20th birthday.

Finally, and right after this session, the meeting of the thematic rooms took place. It was held through Zoom, and once everyone was welcomed, five small Zoom groups were organized, each of which was dedicated to a different theme. A total of 113 people participated; 28 in the first session, 40 in the second and 45 in the third. This way of working, with the possibility of integrating the different thematic rooms within the application, allowed attendees to choose the room they wanted to attend and, if necessary, change to another one.

Evaluation

(Spanish) Como forma de conocer la opinión de las personas que asistieron a la sesión de salas temáticas, se preparó un formulario con preguntas acerca de si colaboraban con los proyectos Wikimedia, la sala en la que participaron, qué temas les interesaban, o cómo valoraban los recursos empleados o las celebraciones del aniversario.

En total se obtuvieron 25 respuestas, lo que significó un 55% del total de 45 personas asistentes. Una gran mayoría colaboraban o habían colaborado con los proyectos, y su participación se había repartido entre las distintas salas, aunque en mayor porcentaje en educación y brecha de género.

Entre sus temas de interés, muy diversos, se encontraban brecha de género, historia, integración con Wikidata, medio rural, el trabajo con instituciones locales, educación, herramientas de automatización, o política. En cuanto a los recursos empleados, 23 de las 25 personas los consideraron Buenos o Muy Buenos, y en relación a los actos del aniversario, también a 23 de las 25 personas los consideraron Interesantes o Muy Interesantes.

Por último, ofrecimos un espacio para que pudieran dejar cualquier otro mensaje y en general todas las respuestas fueron felicitaciones por la organización y el interés de las sesiones, además de otras mostrando su deseo de formar parte de una red de educación, o de que hubiera actividades para detectar y eliminar el plagio en Wikipedia.

Al margen de esa sesión, en las otras dos (las retransmitidas por YouTube), aunque no hubo una encuesta como tal, recibimos igualmente feedback muy positivo respecto al interés de las mismas y a lo bien que fue la organización. De hecho, y como ejemplo, desde el Museo de la Ciencia nos contactaron días después para felicitarnos y saber cómo habíamos llevado a cabo la retransmisión, de cara a ofrecer ese tipo de emisiones en sus actividades.

(English) As a way of getting feedback from the people who attended the thematic room session, a form was prepared with questions about whether they collaborated with Wikimedia projects, the room they participated in, what topics they were interested in, or how they valued the resources used or the anniversary celebrations.

A total of 25 responses were obtained, which represented 55% of the total of 45 people in attendance. A large majority collaborated or had collaborated with the projects, and their participation was distributed among the different rooms, although in a higher percentage in education and gender gap.

Among their very diverse topics of interest were the gender gap, history, integration with Wikidata, rural environment, working with local institutions, education, automation tools, or politics. Regarding the resources used, 23 out of 25 people considered them Good or Very Good, and regarding the anniversary events, 23 out of 25 people also considered them Interesting or Very Interesting.

Finally, we offered a space for them to leave any other message and in general all the responses were congratulations for the organization and the interest of the sessions, as well as others showing their desire to be part of an education network, or that there were activities to detect and eliminate plagiarism in Wikipedia.

Apart from that session, in the other two (those broadcasted on YouTube), although there was no survey as such, we also received very positive feedback regarding the interest of the sessions and how well they were organized. In fact, and as an example, the Science Museum contacted us a few days later to congratulate us and to know how we had carried out the streaming, in order to offer this type of broadcasts in their activities.

Accessibility

(Spanish) Para que las sesiones fueran más accesibles, tanto por comodidad como para permitir que mucha más gente tuviera la posibilidad de disfrutarlas posteriormente, las dos primeras se transmitieron en directo por YouTube y quedaron subidas en nuestro canal. Los enlaces se enviaron por correo electrónico, por ejemplo a las instituciones tanto participantes como aquellas con las que hemos colaborado estos años, se publicaron en redes sociales, y estuvieron permanentemente disponibles en la página web de la celebración.

Para coordinar la logística de las celebraciones, se crearon grupos de Telegram para coordinar, para ofrecer asistencia a los moderadores de cada sala, y para ayudar al público que tuviera algún problema para acceder o le surgiera alguna otra incidencia.

(English) In order to make the sessions more accessible, both for convenience and to allow many more people to enjoy them later, the first two sessions were streamed live on YouTube and uploaded to our channel. The links were sent by email, for example to the participating institutions as well as those with which we have collaborated over the years, posted on social media, and were permanently available on the celebration's website.

To coordinate the logistics of the celebrations, Telegram groups were created to coordinate, to offer assistance to the moderators of each room, and to help the public who had any problem to access or had any other incident.

Communication

(Spanish) La celebración de Wikipedia20 ha supuesto una oportunidad única para generar nuevos impactos en prensa y otorgar más visibilidad pública al Movimiento Wikimedia. Empezamos a trabajar con periodistas a finales de 2020 para conseguir la publicación de piezas específicas. El objetivo era conseguir varias representaciones que permitieran construir un relato diverso sobre las celebraciones, la forma en que Wikipedia ha cambiado la manera en la que construimos o compartimos conocimiento y también sobre nuestras comunidades. A principios de 2021 diseñamos, en colaboración con el equipo de prensa de la WMF, una campaña de difusión para medios generalistas que se lanzó la semana del Aniversario, junto a nuestra landing page y la de la propia WMF.

Los resultados incluyen decenas de menciones en prensa escrita a través de piezas concretas sobre el funcionamiento de Wikipedia, la comunidad que la hace posible, los retos para los próximos 20 años, foco en algunos de nuestros programas o llamamientos directos a la participación en las celebraciones que organizamos. Se realizaron tanto entrevistas con miembros de nuestras comunidades como reportajes de investigación o publicación de editoriales por parte de voluntarios, así como la difusión de nuestra Nota de Prensa. Estas apariciones en prensa escrita tuvieron lugar en medios estatales de cabecera como El País, Público, El Confidencial, La Vanguardia, El Periódico o ElDiario.es y también se realizaron trabajos de adaptación de la narrativa a contextos locales. Igualmente, se escribieron piezas para medios especializados en tecnología como Hipertextual o ComputerHoy.

Coordinamos 7 entrevistas en programas de radio en cadenas como OndaCero, Cadena Ser o Cope; con intervenciones de wikipedistas que colaboran en varias versiones lingüísticas de Wikipedia, miembros de la Junta Directiva de Wikimedia España o nuestra portavoz de comunicación. Conseguimos también una entrevista en los informativos de noche en la cadena pública estatal TVE el día del aniversario, en la que participaron nuestra vice-presidenta y la presidenta de la WMF.

A nivel de redes, nos sumamos a la campaña global #Wikipedia20 con foco especial en Twitter. Además de la interacción con instituciones colaboradoras e integrantes de nuestras comunidades, nuestras cuentas en redes se vieron amplificadas por la campaña:

• Incremento de un 570% de las visitas a nuestro perfil en Twitter con respecto al mes anterior
• Incremento de un 280% de las menciones a nuestro perfil en Twitter con respecto al mes anterior
• Incremento de un 200% en las impresiones globales de nuestros tweets con respecto al mes anterior
• Más de 20.000 impresiones en un tweet sobre el aniversario

(English) The celebration of Wikipedia20 has been a unique opportunity to generate new press hits and give more public visibility to the Wikimedia Movement. We started working with journalists at the end of 2020 to get specific pieces published. The goal was to get several representations that would build a diverse narrative about the celebrations, how Wikipedia has changed the way we build or share knowledge and also about our communities. In early 2021 we designed, in collaboration with WMF's press team, a general media outreach campaign that was launched the week of the Anniversary, along with our landing page and WMF's own.

The results include dozens of mentions in the written press through specific pieces on how Wikipedia works, the community that makes it possible, the challenges for the next 20 years, focus on some of our programs or direct calls for participation in the celebrations we organize. We conducted interviews with members of our communities, investigative reporting and publication of editorials by volunteers, as well as the dissemination of our Press Release. These appearances in the written press took place in leading state media such as El País, Público, El Confidencial, La Vanguardia, El Periódico or ElDiario.es, and we also adapted the narrative to local contexts. We also wrote pieces for specialized technology media such as Hipertextual or ComputerHoy.

We coordinated 7 interviews in radio programs in channels such as Onda Cero, Cadena Ser or Cope; with interventions of Wikipedians who collaborate in various language versions of Wikipedia, members of the Board of Wikimedia Spain or our communication spokesperson. We also got an interview in the evening news on the state public channel TVE on the day of the anniversary, in which our vice-president and the president of the WMF participated.

At the network level, we joined the global campaign #Wikipedia20 with a special focus on Twitter. In addition to the interaction with partner institutions and members of our communities, our network accounts were amplified by the campaign:

• 570% increase in visits to our Twitter profile compared to the previous month.
• 280% increase in mentions of our Twitter profile compared to the previous month.
• 200% increase in global impressions of our tweets compared to the previous month.
• More than 20,000 impressions on one tweet about the anniversary

What did not work so well?

(Spanish) Organizar tres sesiones en un mismo día, y con poco tiempo de antelación (dado que, entre medias, tuvieron lugar las vacaciones de Navidad) fue un reto especialmente motivador (el aniversario, las instituciones participantes, la sesión multilingüe con comunidades, las salas temáticas…) pero, al mismo tiempo, supuso una dedicación y un esfuerzo que, en determinados momentos, se tradujeron en momentos de gran estrés en el equipo organizador. Fruto de la intensidad en la carga de trabajo fueron algunos errores en la logística que afectaban al resto del equipo, retrasaban algunas de las tareas, otras quedaban sin cerrar adecuadamente, etc.

Por tanto, esta experiencia nos ha enseñado a conocer, por un lado, nuestra capacidad para organizar eventos de este tipo, y por otro lado, aquellos puntos débiles en los que deberemos hacer hincapié en el futuro para no repetir los mismos errores y, sobre todo, para evitar una sobrecarga de trabajo que afecte nuevamente al normal desarrollo de los preparativos.

A la hora de programar las presentaciones para la sesión con las comunidades, y siguiendo nuestra línea de trabajo en pro de la igualdad, pensamos en que la mitad de las intervenciones fueran ofrecidas por mujeres. Invitamos a varias socias a participar y en un primer momento contábamos con su aceptación. Sin embargo, según se acercaba la fecha se descolgaron del programa por distintos motivos y al final, tras algún ajuste en el programa, solo dos de las seis presentaciones fueron hechas por mujeres. Esto nos hace reflexionar sobre la importancia de mejorar la forma en la que, en ocasiones, invitamos o animamos a participar a las personas de nuestra comunidad, y nos demuestra el trabajo que aún queda por hacer en pro de diversificar aún más la comunidad, evitando así que sean siempre las mismas voluntarias las que reciben peticiones o invitaciones a participar en eventos y sesiones.

Por otra parte, debido a la situación derivada de la pandemia por coronavirus, con constantes cambios en las medidas de seguridad a cumplir por la población en términos de movilidad, y siendo honestos con nosotros mismos, con las complejidades que presenta llevar a cabo una iniciativa así para una organización pequeña como la nuestra, tomamos la decisión de no afrontar la realización del video prevista inicialmente.

(English) Organizing three sessions on the same day, and at short notice (given the Christmas holidays in between) was a particularly motivating challenge (the anniversary, the participating institutions, the multilingual session with communities, the thematic rooms...) but, at the same time, it involved dedication and effort that, at certain times, translated into moments of great stress for the organizing team. As a result of the intensity of the workload, there were some errors in logistics that affected the rest of the team, delayed some of the tasks, left others unfinished, etc.

Therefore, this experience has taught us, on the one hand, our ability to organize events of this type, and on the other hand, those weak points on which we will have to focus in the future to avoid repeating the same mistakes and, above all, to avoid an overload of work that would again affect the normal development of the preparations.

When scheduling the presentations for the session with the communities, and following our line of work in favor of equality, we thought that half of the presentations should be given by women. We invited several women members to participate and at first we counted on their acceptance. However, as the date approached, they dropped out of the program for various reasons and in the end, after some adjustment to the program, only two of the six presentations were made by women. This makes us reflect on the importance of improving the way in which we sometimes invite or encourage people from our community to participate, and shows us the work that still needs to be done to further diversify the community, thus avoiding that it is always the same volunteers who receive requests or invitations to participate in events and sessions.

On the other hand, due to the situation derived from the coronavirus pandemic, with constant changes in the security measures to be complied with by the population in terms of mobility, and being honest with ourselves, with the complexities of carrying out such an initiative for a small organization like ours, we made the decision not to face the realization of the video initially planned.

What would you do differently next time?

(Spanish) La gestión del tiempo. Por un lado, desde que se aprobó el grant hasta la celebración del evento -teniendo en cuenta que entre medias estaban las vacaciones de Navidad- no hubo el tiempo suficiente para preparar las tres sesiones adecuadamente. A eso se suma que también dependíamos de la publicación de los materiales de difusión por parte de WMF, lo cual también retrasó algunos aspectos organizativos. Por otro lado, para una organización pequeña como WMES la inversión tiempo/recursos para un evento así fue excesiva, lo cual nos sugiere, para el futuro, ser conscientes de las posibilidades que tenemos sin caer en altos niveles de estrés por parte tanto del personal como de la junta directiva.

La planificación del momento tarta de cumpleaños, para la sesión con las comunidades pudo haber sido más sencilla; a la hora de encargar unos cupcakes o una tarta, con unas determinadas características, varias personas indicaron la dificultad para conseguirlo, lo que generaba contratiempos en la organización. Por ello, un planteamiento más minimalista desde el principio, partiendo de la idea de contar con una vela, independientemente del producto, habría sido más fácil de gestionar. Además de esto, hay que mencionar el imprevisto de la borrasca Filomena acaecida en Madrid unos días antes del aniversario, que provocó mucho estrés y malestar en la población por el colapso de los servicios y el no poder salir de casa por la nieve y el hielo, poco habituales en Madrid.

Varias personas indicaron que las salas temáticas resultaban muy cortas de duración en tanto que los temas resultaban interesantes para debatir, compartir experiencias, etc. pero la duración no permitiría profundizar en las cuestiones o inquietudes que surgiesen durante las mismas. Por ello se podría considerar haber dedicado más tiempo o, en caso de no ser posible ese mismo día, haberla celebrado otro día.

(English) Time management. On the one hand, from the time the grant was approved until the celebration of the event - taking into account that the Christmas holidays were in between - there was not enough time to prepare the three sessions adequately. On top of that, we also depended on the publication of the dissemination materials by WMF, which also delayed some organizational aspects. On the other hand, for a small organization like WMES the investment of time/resources for such an event was excessive, which suggests us, for the future, to be aware of the possibilities we have without falling into high levels of stress on the part of both the staff and the board.

The planning of the birthday cake for the session with the communities could have been simpler; when it came to ordering cupcakes or a cake with certain characteristics, several people indicated the difficulty in obtaining it, which generated setbacks in the organization. Therefore, a more minimalist approach from the beginning, based on the idea of having a candle, regardless of the product, would have been easier to manage. In addition to this, it is worth mentioning the unforeseen event of the storm Filomena in Madrid a few days before the anniversary, which caused a lot of stress and discomfort in the population due to the collapse of services and not being able to leave the house because of the snow and ice, unusual in Madrid.

Several people indicated that the thematic rooms were too short in duration in that the topics were interesting to discuss, share experiences, etc., but the duration would not allow for a more in-depth discussion of the issues or concerns that arose during the sessions. Therefore, more time could have been considered or, if it was not possible on the same day, it could have been held on another day.
