Purpose of the report edit

This form is for organizations receiving Annual Plan Grants to report on their results to date. For progress reports, the time period for this report will the first 6 months of each grant (e.g. 1 January - 30 June of the current year). For impact reports, the time period for this report will be the full 12 months of this grant, including the period already reported on in the progress report (e.g. 1 January - 31 December of the current year). This form includes four sections, addressing global metrics, program stories, financial information, and compliance. Please contact APG/FDC staff if you have questions about this form, or concerns submitting it by the deadline. After submitting the form, organizations will also meet with APG staff to discuss their progress.

Global metrics overview - all programs edit

Telling your program stories - all programs edit

Please tell the story of each of your programs included in your proposal. This is your chance to tell your story by using any additional metrics (beyond global metrics) that are relevant to your context, beyond the global metrics above. You should be reporting against the targets you set at the beginning of the year throughout the year. We have provided a template here below for you to report against your targets, but you are welcome to include this information in another way. Also, if you decided not to do a program that was included in your proposal or added a program not in the proposal, please explain this change. Overview of this quarter edit

  • Plan:

September 1st we recruited two new staff, a 0.5FTE French community liaison and a 0.2FTE administrative assistant. The later was planned to be hired in April, but we postponed her recruitment to assure the efficiency of the recruitment, one of the point was that the modification of the accounting software was delayed, and it would have been a waste of time and funds in the middle of such a modification.

  • Budget:

The budget hasn't been reduced to reflect the new staff, but effort have been made to reduce the cost of other program in order to maintain the same budget.

HIGHLIGHTS:

  • Wikipermanences have been a success in two cities during the Q2, and during the Q3 we succeed to negotiate the organization of monthly wikipermanences in three more places in the French part, and two in the german part
  • We decide to financially support one of the most productive Italian Photographer. It can looks a small things, but the individual support for acquisition of material is something that has always create debate in the community, it's so difficult to define what is an acceptable support. We believe that our model of matching fund (not funding the whole material) is a good model to assure the equity. And with more than 4000 pictures upload during the sole Q3, we believe we have a good return of investment.

GROWTH: How did your entity grow over the past quarter vs. the previous quarter (e.g., Number of active editors reached/involved/added, number of articles created, number of events held, number of partipants reached through workshops)?

Membership
As of 30 September 2014, Wikimedia CH had 474 members, an increase of about 3,55% for the third quarter only.
  • 133 are supportive members and 23 members represent legal entities.
  • 275 (58,02%) are primarily German-speakers, 112 French-speakers (23,63%), 24 Italian-speakers (5,06%), 37 (7,80%) English speakers and 1 Romansh-speaker (0.2%).
  • A little bit less than 72,15% (342) identified as males, but since providing information about gender is not mandatory, this figure may not match the exact reality.

Financial summary edit

The FDC requires information about how your entity received and spent money over the past year. The FDC distributes general funds, so your entity is not required to use funds exactly as outlined in the proposal. While line-item expenses will not be examined, the FDC and movement wants to understand why the entity spent money in the way it did. If variance in budgeted vs. actual is greater than 20%, please provide explanation in more detail. This helps the FDC understand the rationale behind any significant changes. Note that any changes from the Grant proposal, among other things, must be consistent with the WMF mission, must be for charitable purposes as defined in the grant agreement, must be reported to WMF, and must otherwise comply with the grant agreement. Wikipedia Writing Atelier in collaboration with the association FemWiss
  • The microgrants committee of Wikimedia CH awarded 2 grants to 2 volunteers, indirectly benefiting over 30 volunteers.
  • 10 Scholarships for Wikimania 2014 were awarded, not only to people coming from Switzerland, but also to people editing Wikipedia in one of the four Swiss-Languages, coming from a country with no chapter or a chapter not receiving FDC money.
  • Summer Party in Zürich was hosted by user:Sarita98 in Zurich, with 11 Wikipedians/Wikimedians participating
  • 1 photo accreditation successfully processed which resulted in 10 qualitative pictures on Commons
  • Organized 2 events related to gender-gap in September, having 6 and 20 women participating.
  • 2 wikipermanences (break during summer) involving 3 volunteers, 2 WMCH staff, 2 partners staff.
    In October we published a blog post initially published during the Q3 in the internal journal of the BCUL
  • since January 1st, at least 9998 media files have been uploaded on Commons and tagged as supported by WMCH, with a total of 35 featured images, 661 quality images and a global usage of 19918
  • 1 Wikimedian has been sponsored by Wikimedia CH to buy a new camera

Pont à Lausanne et Wikipédiens (2014)
  • 2 Diversity Events:
2 Events were organized in Zurich in September in order to attract women to contribute to Wikipedia in Switzerland.
The first event was an Edit-a-thon about "Art&Feminism", organized by a volunteer, having attracted 6 women to participate and a total of 3 volunteers of WMCH to support this Edit-a-thon.
The second event was a Wikipedia-Atelier, which was co-organized by Wikimedia CH and FemWiss, an association of feminist academics. This one-day-long event was attended by 20 women, supported by 1 volunteer and 1 staff member.
These two events laid the ground to build upon a network of German-speaking female Wikipedians in Switzerland in 2015 (similar to the WomenEdit Network in Germany, initiated by Silvia Stienecker and WMDE).
To lay the ground for future events, we reached out to the main women-networks in German-speaking Switzerland (a total of 28 local and nationwide associations, getting a positive feedback of one quarter of the contacted institutions) in order to find partners to co-host future Wikipedia-Workshops/Edit-a-thons/Ateliers with female attendants in order to improve gender diversity among authors in DE:WP.
  • Festicabale:
The summer meeting of the French Wikipedians has been successfully organized in Lausanne. During two days more than 25 Wikipedians from Switzerland and France met in Lausanne for a visit of the old city of Lausanne, a barbecue, a triathlon and a lot of fun. This event give us the opportunity to create contact with the "guide de Lausanne", the association organizing city visit, they change every year their visits offer and are now interested to share under a free license the visits description of the former years.

  • Mentoring:
Support (mentorship) for 3 new wikipedians editing in four languages (German, French, English and Italian) in order to study their activity and to monitor any potential conflict with the community (first step of the proposed project of observatory for 2016)
  • Survey:
Submission of a survey to the three wikipedians in order to receive their periodical feedback about their "new wikipedian life" and to investigate any potential cause of their leaving from the project
  • Funding Consultation:
Support to 10 Italian speaking Wikipedian/wikimedians explaining how thy can get their project funded by Wikimedia CH or by Wikimedia Foundation (through IEG or PEG)
Providing on Wikipedia the information necessary to complete the cycle of primary education in the languages used by the different education systems. Wikimedia CH is partner specifically of Wikipedia Primary School SSAJRP programme (February 2014-February 2017), a Swiss-South African joint project focusing on the quality of Wikipedia articles related to the South African primary school curriculum. The project relates to Wikimedia CH support to Kiwix and two members of Wikimedia CH are involved in the project in providing feedback. Status of the project and progress.
  • Support to Commons Photographer:
Wikimedia CH decide to help an italian photographer to buy a new camera and a new lens (partial support of 500CHf). The result can be seen in this category and the metrics in the following table. But the story is more than just the numbers, the idea originally came from Ilario Valdelli our Italian Community Liaision, and together with two French speaking volunteers they build up a small meeting in Lausanne, where Sailko should have learn from them some hints to make better pictures in some specific condition. Unfortunately the program has not been fully done but we plan to promote again this scheme next year.

What worked and what did not?
  • We learned that it is very promising to collaborate with a partner institution to host Edit-a-thons. These partner association have a network with people sharing the same interest. If hosting events with such partner institutions, it's much easier to REACH and attract numerous people.

Meet-up International Volunteer Support
Co-hosted the pre-conference "International Volunteer Support
during Wikimania 2014 in collaboration with Wikimedia AT & Wikimedia DE in order to enable people being involved in volunteer support to exchange experiences and ideas as well as share best practices. Similar to GLAM or Education, we're intending to establish an international network of "volunteer supporters" and this pre-confernce laid the basis for this future development. A total of 19 people attended the pre-conference.

Scholarships
10 wikimedians received a scholarship from WMCH, 4 coming from Switzerland, 3 from Italy, 1 from Belgium, 1 from Tunisia and 1 from Cameroun.
Community Village
The community Village has been organized by John Cummings and Stuart Prior from WMUK and Charles Andrès from WMCH. Launch in 2013 from an idea of Nicole Ebber (WMDE) and Charles Andrès (WMCH), the chapter's village gets global in 2014 and renames itself in "community village". For the first time, User groups, chapters, WMF staff and like-minded organization shared a common space to show their activities. At the end, 37 organization were represented in the Community Village.

Building a Network of contacts at Journalistic Schools:
Reaching out to all journalistic schools in german-speaking Switzerland (e.g. MAZ Luzern, Ringier Journalistenschule Zürich, Medienschule St. Gallen, Schule für angewandte Linguistik Zürich) in order to build a network of contact persons and promote Wikipedia courses for the upcoming semesters. As a result of these initiated contacts, the first event is planned for early 2015.

  • Make KIWIX more affordable: The support of RaspberryPi was finally merged to thekiwix-plug master branch; this offers new perspectives because the price to create a Kiwix-Plug has dropped to around USD 100.
  • Hackathon: Four developers had a one-week hackathon in Lyon, France to develop an offline version of the Gutenberg library. Team KIWIX is currently polishing the code and planning a soon release; first deployments are planned for late autumn in Africa.
  • A proof-of-concept of a Kiwix iOS app was made, so a first app might be released before the end of the year.
What worked and what did not?
  • We have a backlog of more than 120'000 files to be uploaded from different GLAM partnership (Herbaria and Amoeba), eventually this backlog will be resolved by the usage of the GWToolset when Wikibase will be deployed in Wikimedia Commons. This new feature will allow us to fix one of the main challenge associated with our uplaods, the difference between the initial description of the species and the actual state of the art. Today we cannot give both information, and it's a problem for our GLAM partners, but with the wikibase we will have the solution, that's why we prefer to wait for it, and so avoiding an increase charge of work

  • Wiki4Alps contest
The contest Wiki Loves Monuments 2014 has been focused in cultural heritage within the Alps in order to cover the lack of photos of monuments in this area. Considering the reduction of the 50% of the list of monuments, the participation is not decreased proportionally. We supposed to have a decrease in comparison with 2013 but our aim was to have more useful photos and to have a contest to reduce a weaknesses of Commons. Basically the aim has not been the quantity but the quality and the reaction of community has been good. The contest started the 8th September and finished the 9th October and the participation can be considered interesting.

  • Glam Partnerships
In Switzerland the theme of Alps is like a "passe-partout". The theme facilitate the chapter in communicating to institutions and people on a topic Swiss people appreciate and on a topic with a relevance beyond the Swiss borders. This helps a lot in approaching GLAMs and to create an empathy in the public.
Contact and meeting with the Project Samara in Ticino (supported by the cantonal administration). The aim of the project is to create a repository of metadata to categorize all cultural heritage in Italian Switzerland (books, monuments, archives, photos, etc.).
Contacts with three GLAM around the Alpine space.
Contacts with three Foundations/Associations focused on Alps.
Partnership with the project The Alps on Wikipedia (Switzerland and Italy).
First discussions with other Wikimedia chapters to work together on common project in the frame of the Alpine Space program.
What worked and what did not?
  • Interest. The topic of the Alps triggers interest and it appears to be considered relevant both by people and institutions.
  • Synergies. Focusing on a topic which is relevant beyond national borders facilitates synergies with volunteers and institution in more than one country. We had preliminary discussions with other chapters but we didn't start working jet on a common project. The only project which is already involving two chapters on the topic of the Alps is The Alps on Wikipedia.
  • Background content. It appears that Wikipedia and the Wikimedia projects still lack background content related to the Alps; institutions are not fully documented in any language and simple documentation about WikiGLAM partnerships is not available in all languages. Activities has been implemented to fill this gap.
  • Cross-boarder. Collaborating with GLAMs at the same time in Switzerland and Italy has showed extensive differences in the way institutions work and in the way they expect to be approached. We did not expect that – even in territories using the same language (Italian in Ticino and Italy) and very closed – specific specific communication tools and a different discourse is necessary. Understanding this issue was not obvious and it took some time to reset the approach.

  • The theme of Alps can have a big impact in Alpine Space and can be a section of thematic project which can receive easily external finds because the same local administrations and the European Union are sensible to this aspect but it is a longtime program because the content in Wikipedia is huge for Italian language but still weak in other languages. Anyway the perception of Wikimedia as partner for projects focused on Alps is considered time by time more valuable.

  • The new APG process has been set up and launched July 1st.
During the summer months July and August we reached out to the swiss communities on all different projects and platforms (DE:WP, FR:WP, IT:WP, META, Twitter, Facebook, Mailinglists) in order to call on these Wikimedians to submit their own idea for a project or an activity. These ideas afterwards influenced the annual plan of Wikimedia CH for 2015 and made sure we build our annual plan for 2015 on the needs and the ideas of our communities.
  • Two different approaches were tested: Whereas on IT:WP the central notice was used to promote the projects among Wikipedia users, in DE:WP mainly personal contacts were activated to collect ideas for projects and activities in 2015. In the absence of French community liaison, we have used only the messages on the mailing list and village pumps.

    We received 74 proposals in two weeks (the whole communication has been done in Italian language)
    27 projects considered eligible and aligned with Wikimedia objectives but 9 of them excluded cause the incompatibility/not acceptance of the cc-by-sa, in the shortlist 7 were addressed to the IEG/PEG (mainly project in themes non included in the annual plan of Wikimedia CH), 2 to other foundations, 2 received a withdrew of the proposal and 7 considered valid for the inclusion in the annual plan

Finally a total of 11 projects from the german-speaking community and a total of 7 (considering also those addressed to microgrant) from the italian-speaking community were approved to be supported/realized in 2015 with the support of Wikimedia CH.
What worked and what did not?
  • The call for project has been really informative and confirmed us that Central Notice is the most powerfull way to communicate with the larger audience of wikimedians editor and wikimedia project user. But it also confirmed us the impact of the community liaison, in two years the number of project proposed during the call for project may have « decreased », but in the same time, more wikipedians proposed project, or asked to be associated with the chapter’s program, with a higher focus on wikimedia project, so we consider we gain in efficiency.

A key objective of the funding is to enable the movement as a whole to understand how to achieve shared goals better and faster. An important way of doing this is to identify lessons learned from entities who receive funds, and to share these lessons across the movement. The purpose of this section is to elicit some of these insights, which will be shared throughout the movement. Please answer the following questions in 1–2 paragraphs each.

What were your major accomplishments in the past quarter, and how did you help to achieve movement goals?

  • The processing of the call for project has been really inspiring and help us to adapt our Volunteer support approach. Starting next winter, we will engage in a deep discussion with our communities about the usage of the central notice to 1) inform the communities about the support opportunities 2) inform the general public about Wikimedia initiatives. Overall the experiment around the call fro project teach us how to best reach the wikimedians and identify their needs.
  • We are especially proud of the support of User:Sailko, we may even have done better if the initial plan would have been realized.

What were your major setbacks in the past quarter (e.g., programs that were not successful)?

  • We do not have major setbacks in term of programs. The delay in uploading the pictures created in our digitization programs is frustrating but legitimate.
  • The few proposal coming from the French communities is also frustrating, but confirmed us that a community liaison was needed.

What factors (organizational, environmental) enabled your success?

  • The presence of the community liaison is definitively an asset, in two years we have seen a significant increase of the number of wikimedians asking for support. We use to highly support few members, while we are now highly supporting several members, in all our three languages.

What unanticipated challenges did you encounter and how did this affect what you were able to accomplish?

  • This year we identified several challenges associated with third party fundings. The main lesson is that in order to be successful in finding local fundings we need to improve the visibility of our program in term of time and definition. Until this year , Wikimedia CH programs were too much designed as aggregation of small project with short term objectives. This type of programs are not really the type of programs that local fundings agencies are likely too funds, on the contrary of our former positive experience with the Neuchatel Herbarium.

What changes might you make in executing your initiatives into the next quarter?

  • After 18 month of active volunteer support, we have learned a lot that will help us to improve our program. The experience acquire by our community liaison allow us to scale up the program and to be more ambitious in term of number of volunteer supported.
