It's great that you were able to draw in new editors with this interesting idea for an edit-a-thon, although you had fewer participants than you expected, and that you were happy with the output of articles created or improved per editor. Partnering with an institution like a library may not only be a good idea for drawing in more participants, but may also help you secure a venue donation for your next event. Using a longer format for future events might be a good idea, as you note in this report. It certainly can be overwhelming for new users to learn all about Wikipedia and make meaningful contributions in just 90 minutes, which is why many edit-a-thons including new users are closer to three hours in length. As Marti highlighted during application review, many organizers also find success in organizing repeat events that involve some of the same participants, which allows participants to build on past knowledge. So you might consider reaching out to participants form this event when planning your next.

Did you track any global metrics for your event, as Marti suggested, such as articles created or improved? From your event page, it looks like you achieved 19 articles created or improved, 3 new images uploaded, and 18 participants. Did you track how many new editors and active editors participated? For future edit-a-thons, you might set some targets in these areas, now that you have an idea of what to expect.

Congratulations on completing your project under budget. You came in significantly under what was budgeted for food and beverages in total, although we note that the per person cost for food and beverages was relatively high at $14/per person, since there were only 18 participants. As Marti noted during application review, it would be good to see this come down for future events funded by WMF.

I think re-using these funds for another edit-a-thon is a great idea. Would you be able to submit a new Rapid Grant application for that? We will do our best to speedily review it.

Thank you for your message above. We just submitted our receipts to Sarah Malik last evening and she asked that if we wanted to request a reallocation of the remaining grant funds of $593.07 that I follow the instructions to Request to use remaining Event Grant funds for other mission-aligned activities. We greatly appreciate this option and would like to do so. I am therefore posting a message with the requested detail outlined on the instruction page to Request to use remaining Event Grant funds. 1. Budget for the use of the remaining $593.07 would be the following:

    Cleaning/janitorial costs for facility:  $101.46
    Security: $167.50
    Engineer: $170 (4 hrs)
    Food:  $154.11 (30 people at approximately $5.14 per person)

2. WHYY would like to hold another Wikipedia Edit-a-thon where participants will create or enhance the Wikipedia pages of culturally notable figures who have appeared on our award-winning, national radio program Fresh Air with Terry Gross. Participants will also add name authoritative citations and references to improve the quality of the existing Wikipedia pages. This event will be in collaboration with a library. We are currently exploring collaboration with either Drexel University library, Temple University Library or the Princeton library. We anticipate 30 participants.

3. The event will be held in the Fall of 2017. A date is TBD based on the library partner secured for this event. We will update this page with a date as soon as it is secured.

Reallocation request approved edit

Hi Gianna. It's great to hear you would like to hold another event. We will approve this report but the grant will remain open until the second event has been held and reported on. Once you know the date for the event and any additional details, please post them here. After the event we'll need you to also post the outcomes of the event and send the expense documentation.
