It has already been a couple of weeks (time moves so fast!), but I wanted to explain and share some lessons learned about an edit-a-thon that Wikimedia Sverige and Wikimedia Polska organized in conjunction with the Europeana 1989 Collection Days in Warsaw, Poland.

The Collection Days are a series of events that will continue to the end of 2014, where the public is invited to come and share their memorabilia of 1989, and have it digitized and uploaded online under a CC-BY-SA license. When I heard about this topic, I thought that the first Collection Days would be a perfect event for the Wikimedia movement to participate in because of the similarities of involving the general public and the use of the license. The idea was that we could try out the concept and see what worked and didn’t work, and by sharing this experience and gaining these contacts, we could help other European chapters to organize events in connection to future Collection Days.

With this blog post, I hope to do just that.

The goal with the edit-a-thon, in addition to writing articles together and making Wikipedia better, was to get new people and new organizations involved in the work of the Wikimedia movement. The idea is that the people who bring their objects to the Collection Days easily could stop by and learn how to edit Wikipedia and learn that their memorabilia of 1989 also might appear on Wikipedia.

The day before, I arrived with another Swedish volunteer to attend the kick-off event (with a bunch of VIPs present, who now have images on Commons!). We met with the Polish Collection Days’ organizers, prepared the venue and uploaded images that had been digitized during the day. The Polish chapter had been great at promoting the event in advance and had translated the event page to Polish.

On the 9^th of June, six experienced Wikimedians from Poland and Sweden gathered in Warsaw for this international edit-a-thon to write about both Polish history in general and especially about the events that took place in 1989. Our goal was to use as many images that were digitized during the Collection Days as possible. I gave a short presentation about what we hoped to achieve there and then we started with fixing up some of the images uploaded the night before and writing articles (a few more images were uploaded from the event throughout the day that we could work on). The catering had some issues, but we had a great time and we were very productive, with nine new articles and 15 articles expanded in Polish, Swedish and English Wikipedias.

We hope that other chapters will take the opportunity to organize edit-a-thons in their countries in connection with these events. After Poland, the Collection Days will be organized in the Baltic states (the plan is August, but the exact dates are still to be decided). To make your work easier I have compiled a list of lessons we learned that might help you to make the event a smashing success:

• It’s really nice participating in these mass-scale digitization projects and seeing how they work! It gives you a chance to interact with GLAM professionals and get the behind-the-scenes perspective. Our suggestion is that you try to promote this opportunity to your volunteers (on wiki, on email lists, IRL, through blog posts and press releases).
• It takes time for the Collection Days’ staff and volunteers to process the material that people bring there (they need to add metadata and upload the images to their site). Hence, the edit-a-thon should take place on the second day of the Collection Days so that the local material can be digitized and used. Also, be sure to localize and talk to the tech-person as soon as possible.
• Help the organizations organizing the Collection Days in your country to communicate about the fact that the material can also be added to Wikipedia. Push for your involvement to be mentioned in all external communication! If done right, it’s my belief that this might attract more people to show up with their memorabilia (even if they might have had it digitized before--which is not unlikely as there have been projects trying to do this before--then they might hopefully see an added value to the memorabilia being used on Wikipedia).
• A lot of the material that people bring might have copyright issues (orphan works) and might make it unusable. To solve this you should ideally have some volunteers who know copyright very well involved somehow (either present there or available online).
• Try to involve the volunteers participating at the Collection Days. We were not successful with this, as we expected a lot of people to arrive there and did not expect these volunteers to have any spare time. This turned out to be wrong and when there weren't that many people showing up with memorabilia, they might have liked to try editing. To increase the chances of this, they should have been informed about the possibility in advance and perhaps even have organized a workshop on how to edit before hand.
• If the goal isn’t just to create great articles, but also to teach newbies how to edit, then you have to make sure that you have a spot at the venue in a prominent position. Bring your roll-up banner stand (if you have one) or a poster with an invitation to learn to edit and an explanation of who you all are. If you have extra laptops, you should bring them as well.
• Thanks to this cooperation, it is possible to keep the cost of the edit-a-thon very low! The Collection Days’ organizers generously offered us both free snacks, coffee, tea and a light lunch, plus the venue without any cost. This should hopefully be possible in future Collection Days edit-a-thons. If not, and if you would like to organize a Collection Days edit-a-thon ‘’this year’’, then Wikimedia Sverige might be able to cover some of the costs for catering, etc. Just contact me and let me know your plans.

Collection Days-skrivstuga

Det har redan hunnit gå ett par veckor (tiden flyger iväg!) men jag gärna dela med mig av några erfarenheter från en skrivstuga som Wikimedia Sverige och Wikimedia Polska arrangerade i samband med Europeana 1989 Collection Days i Warszawa, Polen.

The Collection Days är en serie evenemang som pågår till slutet av 2014 där allmänheten bjuds in till att dela med sig av sina minnessaker och fotografier från 1989 och få det digitaliserat och uppladdat under en CC-BY-SA licens. När jag först fick höra om det projektet tänkte jag att dessa Collection Days borde vara ett perfekt tillfälle för Wikimediarörelsen att delta på. Detta på grund av likheterna med att involvera allmänheten asmt användningen av licensen. Idén var att pröva konceptet och se vad som funkade och vad som inte funkade och genom att dela dessa erfarenheter och få nya kontakter skulle vi kunna hjälpa andra europeiska lokalavdelningar att arrangera evenemang i samband med framtida Collection Days.

Med denna bloggpost hoppas jag att göra just detta.

Målet med skrivstugan, utöver att skriva artiklar tillsammans och göra Wikipedia bättre, var att få nytt folk och nya organisationer involverade i Wikimediarörelsens arbete. Idén är att folk som tar med sig sina saker till Collection Days vid samma tillfälle lätt skulle kunna stanna till och lära sig hur man redigerar Wikipedia och vi skulle kunna berätta för dem om att deras deras minnessaker från 1989 också skulle kunna synas på Wikipedia.

Dagen innan anlände jag tillsammans med en annan svensk volontär för att vara med på kick-off evenemanget (tillsammans med en bunt VIP – som nu har bilder på Commons!). Vi mötte upp de polska Collection Days-arrangörerna, förberedde vår plats och laddade upp bilder som hade digitaliserats under dagen. Den polska lokalavdelningen hade arbetat hårt med att marknadsföra evenemanget i förväg och även översatt evenemangssidan till polska.

Den 9 juni samlades sex erfarna wikimedianer från Polen och Sverige i Warszawa för denna internationella skrivstuga. Vi planerade att skriva om både polsk historia i allmänhet och om händelserna 1989 i synnerhet. Vårt mål var att använda så många av bilderna som hade blivit digitaliserade under Collection Days som bara var möjligt. Jag gav en kort presentation om vad vi hoppades att uppnå där och sedan började vi med att fixa till några av bilderna som hade laddats upp natten innan och skriva artiklar (några bilder till laddades upp från evenemanget under dagen som vi kunde arbeta med). Matserveringen fungerade inte klockrent men vi hade mycket trevligt och var väldigt produktiva med nio nya artiklar och 15 utökade artiklar på polska, svenska och engelska Wikipedia.

Vi hoppas att fler lokalavdelningar tar chansen och organiserar skrivstugor i deras länder i samband med dessa evenemang. Efter Polen kommer Collection Days att arrangeras i Baltikum (preliminärt i augusti, datum är inte satta än). Så Wikimedia Eesti och alla volontärer i Lettland och Litauen, kontakta mig så sätter jag er i kontakt med rätt personer!

För att göra det lite enklare har jag sammanställt en lista av våra dragna erfarenheter som kan hjälpa dig till en fantastisk framgång:

• Det är väldigt trevligt att delta i dessa storskaliga digitaliseringsprojekt och få se hur de går till! Det ger en chans att interagera med GLAM-anställda och få se hur det går till bakom kulisserna. Vårt förslag är att ni använder detta faktum för att intressera era volontärer att delta i skrivstugorna (på wiki, via e-postlistor, IRL, genom bloggposter och pressreleaser).
• Det tar tid för personalen och volontärerna som arbetar på Collection Days att processa materialet som allmänheten tagit med sig dit (de ska lägga till metadata och ladda upp bilderna till deras webbplats). Därför bör skrivstugan äga rum den andra dagen av Collection Days så att lokalt material är färdigt att användas. Ett tips är att se till att hitta och prata med deras tekniker så fort som möjligt.
• Hjälp organisationerna som arrangerar Collection Days i ditt land att kommunicera att material också kan läggas till på Wikipedia. Tryck på att Wikimedias inblandning ska nämnas i den externa kommunikationen! Om det görs rätt tror jag att detta kan locka mer folk att dyka upp med sin minnessaker (även om de har fått den digitaliserad tidigare – vilket inte är osannolikt eftersom att det har varit andra projekt som har arbetat med detta tidigare. De kommer förhoppningsvis att se det extra värdet av att deras minnessaker används på Wikipedia).
• Mycket av materialet som folk kommer att ta med har olika upphovsrättsproblem (exempelvis kan de vara föräldralösa verk) som kan göra dem oanvändbara. För att undvika problem bör du ha tillgång till en volontär som kan upphovsrätten väl (antingen på plats eller tillgänglig på nätet).
• Försök att involvera volontärer som arbetar för Collection Days. Vid det här evenemanget var vi inte framgångsrika med detta eftersom att vi hade förväntat oss att ett stort antal personer skulle komma och att volontärerna inte skulle ha någon tid över. Detta visade sig vara felaktigt och när det inte kom jättemånga som dök upp med material att digitalisera kunde de volontärerna kanske kunnat varit med och redigerat istället. För att öka chanserna för detta skulle de dock ha informerats innan om möjligheten och vi kanske även kunde ha arrangerat en workshop om hur man redigerar.
• Om målet inte bara är att skapa bra artiklar utan att också lära nybörjare att redigera så se till att ni som skriver sitter på en väl synlig plats. Ta med dina roll-ups (om du har några) eller en inbjudande affisch som bjuder in till att delta och förklarar vilka ni är. Har du extra laptops bör du ta med dem också.
• Tack vare detta samarbete är det möjligt att hålla kostnaderna för en skrivstuga väldigt låga! Arrangörerna för Collection Days i Polen bjöd generöst på snacks, kaffe och en lätt lunch plus lokalen, utan någon kostnad för oss. Detta kommer förhoppningsvis vara möjligt även på framtida Collection Days-skrivstugor. Om inte, och mo du skulle vilja arrangera en Collection Days-skrivstuga i år kan Wikimedia Sverige kanske täcka en del av kostnaderna för catering etc. Ta kontakt med mig och dela med dig av dina planer!

Minęło już kilka tygodni (jak ten czas pędzi!), ale chciałem opowiedzieć i podzielić się doświadczeniami zdobytymi w czasie Edit-a-Thonu, który został zorganizowany przez Wikimedia Szwecja i Wikimedia Polska przy okazji Europeana 1989 Collection Days w Warszawie.

Collection Days to seria wydarzeń, które będą organizowane do końca 2014 roku, w ramach których zaprasza się wszystkich ludzi, którzy chcą się podzielić swoimi pamiątkami z okresu 1989 r., po to aby je zdigitalizować i udostępnić on-line na licencji CC-BY-SA. Kiedy o tym usłyszałem, pomyślałem, że pierwsze Collection Days będą świetną okazją dla ruchu Wikimedia aby włączyć się w te działania, które podobnie jak projekty Wikimedia są skierowane do każdego i oparte na tej samej licencji. Chodziło o to, abyśmy mogli wypróbować koncepcję, zobaczyć, co zadziała, a co nie a następnie podzielić się tymi doświadczeniami i nawiązanymi kontaktami z innymi europejskimi stowarzyszeniami Wikimedia, przy organizacji podobnych imprez w trakcie kolejnych edycji Collection Days.

Celem Edit-a-Thonu, oprócz wspólnego pisania i poprawiania artykułów w Wikipedii, było przyciągnięcie nowych ludzi i nowych organizacji do pracy na rzecz ruchu Wikimedia. Chodzi o to, że ludzie, którzy przynoszą swoje rzeczy na Collection Days, mogą też zatrzymać się trochę dłużej, dowiedzieć się jak edytować Wikipedię oraz że ich pamiątki z 1989 r. mogą pojawić się w Wikipedii.

Razem ze szwedzką wolontariuszką przyjechałem dzień wcześniej aby wziąć udział w inauguracji Collection Days, w której uczestniczyło też kilkunastu VIP-ów, którzy teraz mają zdjęcia na Commons. Spotkaliśmy się z organizatorami Collection Days, przygotowaliśmy salę i przesłaliśmy na Commons zdjęcia, które zostały zeskanowane w ciągu dnia. Wikimedia Polska pomogła wypromować to wydarzenie i przetłumaczyła stronę wydarzenia na polski.

9 czerwca, sześcioro doświadczonych Wikimedian z Polski i Szwecji zebrało się w Warszawie na Edit-a-Thonie aby pisać o historii Polski ze szczególnym uwzględnieniem wydarzeń, które miały miejsce w 1989 roku. Naszym celem było wykorzystać jak najwięcej zdjęć, które zostały zdigitalizowane podczas Collection Days. Na początku przedstawiłem krótką prezentację na temat tego, co mieliśmy nadzieję osiągnąć, po czym zaczęliśmy umieszczać w Wikipedii niektóre ze zdjęć przesłanych w poprzednią noc i pisać artykuły. Równolegle załadowaliśmy też kilka dodatkowych zdjęć, które zostały wykonane w trakcie wcześniejszej imprezy. Było trochę problemów z cateringiem, ale w sumie świetnie się bawiliśmy, spędzając ten czas produktywnie na napisanie dziewięciu nowych artykułów i poszerzenie 15, w polskiej, szwedzkiej i anglojęzycznej Wikipedii.

Mamy nadzieję, że pozostałe europejskie organizacje Wikimedia będą miały możliwość zorganizowania Edit-a-Thonów w swoich krajach, gdy zawitają do nich Collection Days. Po Polsce, imprezy te będą organizowane w krajach bałtyckich (plan jest na sierpień, ale dokładne daty są jeszcze do ustalenia). A zatem, Wikimedia Estonia i Wy wszyscy ochotnicy z Łotwy i Litwy, koniecznie skontaktujcie się ze mną, a ja pomogę Wam skontaktować się z właściwymi ludźmi z Europeany!

Aby ułatwić Wam pracę przygotowałem listę wniosków z lekcji jaką otrzymaliśmy w Waraszawie, która może Wam pomóc w osiągnięciu sukcesu przy organizacji tego wydarzenia:

• To jest naprawdę miłe wziąć udział w tym masowym projekcie cyfryzacji i zobaczyć jak on działa! Daje to szansę spotkania z profesjonalistami z instytucji GLAM i uzyskania wglądu w ich pracę z perspektywy kuluarów. Proponujemy, abyście podjęli starania aby wypromować tę okazję w środowisku wolontariuszy (na wiki, na listach e-mailowych, kanałach IRC, poprzez bloga i publikacje prasowe).

• Pracownicy i wolontariusze Collection Days potrzebują czasu aby przetworzyć materiały przyniesione przez ludzi, co wymaga dodania do nich metadanych i przesłania na serwery Europeany. Dlatego Edit-a-Thon powinien odbyć się następnego dnia po dniu zbiórki, po to aby zebrane materiały mogły być zdigitalizowane i gotowe do użycia. Należy pamiętać aby jak najwcześniej zlokalizować i porozmawiać z osobami odpowiedzialnymi za kwestie techniczne.
• Pomóżcie organizacjom organizującym Collection Days w Waszym kraju informować o tym, że zgromadzone materiały mogą być również dodane do Wikipedii. Naciskajcie aby Wasz udział w wydarzeniu był wspomniany we wszystkich komunikatach zewnętrznych! Jeśli to zostanie zrobione jak należy, to moim zdaniem, przyciągnie to więcej osób skłonnych udostępnić swoje pamiątki. Nawet jeśli ich pamiątki zostały już zeskanowane wcześniej w ramach innych projektów, to może dla nich mieć znaczenie, że gdy je przyniosą teraz ponownie do digitalizacji, zostaną użyte w Wikipedii.
• Wiele materiałów, które ludzie przyniosą może okazać się nieprzydatne ze względu na problemy z prawami autorskimi (utwory osierocone). Aby pomóc rozwiązać ten problem najlepiej jest mieć paru wolontariuszy znających dobrze prawo autorskie, którzy mogą dyżurować na miejscu lub być dostępni on-line.
• Spróbujcie zaangażować wolontariuszy uczestniczących w Collection Days. Nam się to nie udało, w stopniu jak pierwotnie zakładaliśmy. Wolontariusze Europeany nie mieli wolnego czasu aby informować osób przynoszących swoje pamiątki, że ci mogą uczestniczyć w edytowaniu Wikipedii. Aby zwiększyć szansę na przyciągnięcie tych osób, należy skutecznie je poinformować o tej możliwości, przez np. zorganizowanie warsztatów edytowania w dniu zbiórki.
• Jeśli Waszym celem jest nie tylko napisanie wspaniałych artykułów ale też nauczenie początkujących edytowania, to musicie upewnić się, że macie dobrze widoczne miejsce w sali, w której odbywa się impreza. Przynieście swój roll-up (jeśli go macie) lub plakat zapraszający i wyjaśniający kim jesteście. Jeśli macie zapasowe laptopy, weźcie je koniecznie z sobą.
• Dzięki tej współpracy możliwe jest utrzymanie kosztów edit-a-Thonu na bardzo niskim poziomie! Organizatorzy Collection Days wielkodusznie zaoferowali nas zarówno darmowe przekąski, kawę, herbatę i lekki lunch, jak i miejsce na organizację bez żadnych kosztów. Mamy nadzieję, że będzie to możliwe także w trakcie kolejnych Collection Days. Jeśli nie będzie takiej możliwości, a chcielibyście zorganizować Edit-a-Thon w czasie kolejnych Collection Days w tym roku, to Wikimedia Szwecja może być w stanie pokryć część kosztów cateringu, itp. Po prostu skontaktujcie się ze mną i poinformujcie mnie o swoich planach.
