This came up again later in the year :) Apparently my earlier submission didn't stick. I resubmitted our 2020 section-link w/ the latest updates. In case we aren't the only user group running into what feels like a reporting treadmill here, I would propose two changes to the process:

1) Make renewal less tense + less tied to the last few months of reporting:

  • Extend the renewal cycle to 2 years (affiliates recognized for 2-year periods)
  • Standardize the renewal months to be one or two months in the year. e.g., Jan/July
  • Decouple the most recent report from the renewal decision (since there can be short-lived delays or complications) : As long as there is a formal report submitted within the last 12 months, and visible activity online even if not formalized in that fashion (for instance, a regularly updated group website or wikiproject), recognition is renewed.

2) Add quality-of-life improvements for the report process

  • Continue annual reminders about reporting, free from the 'expiration' language.
  • Have a positive goal for reporting, so it feels more constructive than bureaucratic. E.g., a blurb+image submitted are compiled into a short global yearbook (half-year-book?)
  • Standardize the reporting month as well to be one of two months in the year. Since there is no longer a delicate timeline to be kept between "end of reporting period" and "start of new renewal period", this should be easy for affiliates.

@Sj: It is a mandate for the affiliates to submit the annual activity report. The decision on How to create it- updating monthly, quarterly, etc. is the affiliate's decision. The final report with details of Annual activities must be submitted on the data portal. The first reminder is marking the affiliate out of compliance after a month of missing the report submission. The first notice is sent a month later. The goal of reporting is shared learning. Also, understanding the affiliate working. All affiliates have a defined reporting period which is standard practice and is based on affiliate recognition. I can share details of your affiliate's reporting period if you have any doubts about your affiliate's reporting period.

Compliance update issue in categories edit

Hello @DNdubane (WMF) and MKaur (WMF):, I was checking the table of affiliate reports just now and noticed that the affiliates which are marked non-compliant here due to non-submission of reports for more than a year now are somehow kept under the category Annual report submitted and Wikimedia affiliates in good standing. I have not studied to see if this is a technical issue coming from the code, but assuming there might be some wrong codes for categorization. Anyway, I got confused and thought that it would be better to bring it to your notice, so that the issues behind it can be resolved. -- Bodhisattwa (talk) 04:42, 19 January 2022 (UTC)Reply

Hello there Bodhisattwa. Thanks for this email. The categories were previously manually managed. We are working to automate the categories in the next few months. Compliance update edit

The Wikimedians for Offline Wikis User Group is indicated non compliant


However, I did submit the report accordingly to the process mid September : https://meta.wikimedia.org/wiki/Offline_Projects/Reports/June_2023

and I sent the email to wikimedia-l

Can you please make sure the portal is updated to reflect the fact we are actually compliant  ?

The very same thing happened last year, and my emails to wadportal@wikimedia.org are left unanswered.

Hello ? No answer to any of my emails (the first was sent nearly a month ago), and no answer here either. Where to report a system that clearly does NOT work ? What is the POINT of a table being public if the table is never updated ? It leads to believe that affiliates are actually not fulfilling their obligations whilst they are. This is misleading. Every year, I struggle to have the offline report actually reported in that table. This is not cool. Every year have to ask that the table be updated. Some year, we are even tagged as non-compliant whilst the report has been submitted three months earlier. And when I see all the orgs also tagged non-compliant, it also raises questions as whether it is true or not. Not cool. Anthere (talk) 23:36, 15 November 2023 (UTC)Reply
Good day @Anthere, I confirm that I am auditing Affiliate reports as part of our biweekly audit for Affiliates that are out of compliance. Please check back here tomorrow for an updated status. Affiliates who submit their reports within 30 days after their reporting due date get automatically updated by the system. Good day @Anthere, I have now audited all affiliates and updated the compliance statues. It seems that indeed you submitted your group's report in time and the system should have picked it up and updated automatically, however, you used "Wikimedians for offline wikis" instead of the official group name "Wikimedians for offline wikis User Group", that is missing the "User Group" at the end. I have updated that submission entry and the stautus is now updated. Please use the full name next time and the system will atomatically pick it up and update in real time.
