Misc thoughts

Travel

• ask airlines (Lufthansa, BA or such) if they provide discount coupons (AF does it for conferences)
• group fares for trains and such ? (European countries)
• Car pools
• Covering the speakers' travel expenses

Accomodation

• the expensive way : go through an accomodation agency type thing (might not be so expensive after all)
• the cheap way : let people do it by themselves
• the best way (?): find cheap/close accomodation for groups (university dorms ? Hotels ? Campsites ?). Negotiate fares. Display chosen locations and let people book their own. OR booking on line type thing, with registration. OR venue comes with accomodation.
• problem self-solved with choice of Frankfurt

Registration fees

If fees there are :

• "early bird registration" : register before xxx, get x% off (helps planning a LOT)
• reg fees ensures participation to an extent
• reg fees non refundable after *set limit*

Registration process

• online registration (must generate DB for printing of badges)
• payment online
• confirmation of payment and detail

Advertising of event

• ML + all wikipedias
• possibility of "spamming" wikipedians with an e-mail address to tell them of the event(???)

Translation

• simultaneous how many languages ?
• see costs, possibility

Food

• catering ?
• own food ?

Headaches

• How many people are going to come ?
• What kind of sponsorship can we ask for ?
• What can we give the sponsors ?
  • distribution of magazines/presence on location of conference
  • press releases
