About the Conference Grants Committee The Conference Grants Committee comprises active volunteers from the global Wikimedia community. Its primary role is to support the Wikimedia Foundation (WMF) staff responsible for conference grants by evaluating applications and providing constructive feedback to applicants. This feedback focuses on various aspects of the application, including:

  • Feasibility: Assessing the practicality of the proposed conference and its anticipated outcomes.
  • Community Coordination: Evaluating the alignment with community needs and involvement.
  • Team Expertise: Reviewing the skills and experience of the organizing team.
  • Logistics: Considering the suitability of the conference location and timing.
  • Risk Assessment: Identifying potential risks that might impact the conference or its participants.
  • Budget and Allocation: Analyzing the requested funding and its intended use.
  • Strategic Alignment: Ensuring the conference aligns with the Wikimedia movement's overall strategy and goals.

Committee members typically review grant applications during two annual cycles. Applications are discussed in detail with the grants manager and the entire committee. These discussions culminate in decisions to approve (fully or partially) or reject applications. In some cases, the committee may provide feedback in the form of comments, questions, or recommendations for applicants to address.

Feedback is shared directly on the application page on Meta, through discussions facilitated by WMF staff, or via other communication channels with the conference team. These interactions may involve multiple rounds of discussions to refine the application.
