Hello Ola.mahadi, thanks again for your work on the grant application. I have completed the initial review and I'm reaching out with some questions and requests:

  • The Risk assessment form for the in-person events is missing. If you are planning to run any in-person events with more than 10 participants, you are required to complete the steps outlined on the Risk assessment form and include a link in the application form.
  • Your detailed budget is in two currencies. My request is to offer the detailed budget in GBP or USD.
  • Facilitation expenses - we will not fund any facilitation expenses because the outlined activities are carried out by volunteers across the movement. My request is to remove all compensations for facilitation.
  • Jury expenses - please reduce this expense to 150 USD (50 USD per person). Please update the total requested budget after these changes.
  • Since this application includes more activities that we usually fund for similar contests, I'm interested to learn if your community plans to run any other activities from March - September 2022 or these are the main activities you'll focus on?

  • The four events that planned to be run will be in-person events, that contains 8 participants with not more than two facilitators, so no need for the risk assessment form
  • Sorry for the currency mistake all currencies now in USD
  • OK, facilitation expenses will be removed from the budget
  • Budget were updated according to your notes
  • from March to May 2022, we have the project of Sudanese Content on Wikimedia 2021, but we have 2 working teams, and it is expected to finalize that project before May, then the community will manage events

Update on grant statues extension request edit

Dear WMF grant team with reference to our communication earlier this week we would like to request that the community uses the WLA 2022 fund which was received very late June 2022 which made us un able to complete the planned activists and we preferred not to do part of the activities at all as we were not be able to achieve our target goals. the community then used part of the fund to cover Wikimania 2022 local activities which took longer to be granted as well this was communicated also through your college Veronica Thamaini who is following on that. We kindly request your permission to carry on the remaining fund total of (2845 $) of WLA22 to organize our local contest WLA23 Sudan. Please note that there will be changes in the activities in terms of number of participants to reflect the changes in the budget. Our fiscal sponsor will be updated as well. We would like to extend the reporting time for this grant to accommodate 2023 activities of WLA2023 to be the 30th May 2023. Thank you for sharing the information on the situation you are in and what informed the decisions taken and thank you to Wiki in Africa for the support provided. We approve the request made to extend the project timeline to support in use of the remaining funds $2845 in participation in WLA2023. Please note, that there are few grant administrative and compliance steps you will need to take to facilitate the fulfilment of the approval made. These steps have been share on email. Extension request details of activates and budget edit

Dear WMF team,

As we communicated earlier and as we are now operation with almost half of the budget we decided that the focus of the project will be the Wiki Commons and for this we are organizing event in to separate location Khartoum and South Darfur Nyala. The project will conduct two photo walk and to edit thon + upload session this will include participants who have been part of the photo walk plus participants from the community to help update pages with pictures uploaded. Landing page of the contest is drafted we are waiting for approval of the dates with WLA team.

And regarding the activities of WLA2023:

  • 2 PhotoWalks (Khartoum and Nyala with Total of 13 participants)
  • 2 Upload Sessions (Khartoum and Nyala with Total of 26 participants)

Extension request approved edit

Dear Ola.mahadi, thanks for posting your request on the discussion page. We reviewed and formally approved it.

  • We approved that funds can be used for Wiki Loves Africa 2023 project. The remaining amount for the project in the amount of 2,850 USD can be used for the activities described in your extension request.
  • We also approved the relocation of funds in the amount of 1,255 USD to implement Wikimania 2022 related activities reported here.
  • The new grant end date has been extended to 30 May 2023 and the reporting due date is now 30 June 2023.
