Did you meet your goals? Are you happy with how the project went?
On our Project Plan for the events, we thought of four main goals for our event: 1 - Recruit new editors; 2 - Add and improve content; 3 - Help filling the Racial Gap in Portuguese Wikipedia; 4 - Engage experienced editors in editions about the topics of both events.
We are happy to say our event was successful in achieving all of these goals, even though we didn’t quite hit our target impact numbers (see below). Due do security reasons related to recent "zoombombing" issues in events through Google Meet in Brazil, we asked participants to complete an online form with their usernames or e-mails to receive the link to the events in advance. In addition to this, the form had an optional section with questions related to the participants ages and how did they identify themselves regarding to gender and race/ethnicity. The form was the same for both of the events. In total, we had 31 participants that completed the form, of which about 15 came to one or both of the events. Of these 15 participants, at least 7 of them were new or inexperienced editors (with less than 300 edits on the Main space of Portuguese Wikipedia or in Wikimedia Commons). The rest of the participants were experienced editors members of the Wikimedia community in Brazil. Through our dashboard for both events, we were able to track a total of 58 images and videos added to Wikimedia Commons related to the themes of the event (demonstrations and protests against racism or images related to indigenous peoples of Brazil) upload by the volunteers, and there were dozens more images and videos added by us as events organizers. For the Portuguese Wikipedia edit-a-thon, 40225 bytes were added across five articles, only on the day of the edit-a-thon. Of these five articles, four of them were created during the edit-a-thon, and were not reverted since then. Adding to that, there other 23 articles edited in-between the two events that are related to our chosen topic.

- What worked well?
Using part of the grant money for a graphic designer/video editor was a vital step for our grant. Even though we've had a proeminent presence in social media during the last year writing and designing posts about Wikimedia projects, we had a significant increase in social media engagement for the posts promoting the event. With this investment, we were able to establish a visual identity for our group that will be useful for future events and actions for our organization. The designer was also responsible for our T-shirts and eco-bags design, which were were praised by the participants that received them.
We were also very pleased with our three invited speakers: Dr. Cristiane Sabino (Professor of Social Service at UFSC), Matheus Gomes (Historian and city councilor in Porto Alegre) and Adele Godoy Vrana (Co-director at "Whose Knowledge?"). They were able to bring important discussions regarding how the issues of sctructural/institutional racism are related to the production of historical knowledge both inside and outside Wikipedia. We were also happy with the conduction of the event through Google Meet, where people were able to interact and ask questions to the speakers and to us directly, which would not be possible if we had opted to do a livestream instead.
We cooperated with other groups from the Wikimedia movement, partnering with the Visible Wiki Women 2021 campaign for the events, where many of the images uploaded in our event were also part of the scope of the campaign. We also made part of the organization of the larger "Festa da Wiki-Lusofonia" event, for the 20th anniversary of the Portuguese Wikipedia, in cooperation with Wiki Movimento Brasil, Wikimedia Portugal, Wiki Editoras Lx, GLAM Bibliotecas da USP and others.
- What did not work so well?
Although we had a reasonable number of people who identified themselves as being black on our form, only one of them actually participated in the editing parts of the events. We also failed to bring any editors from the rest of the portuguese-speaking territories. The lack of black participants in the event involves several factors, from our profile as a group, the profile of Wikipedia, the place where we are inserted, and these gaps are things that we need to keep in mind for our future projects.
We clearly were wrong to think that we would be able to bring 40 participants to our events. This was our first experience organizing an on-wiki event, and it as such it would probably have been more apropriate to start with a smaller expected metric.
In our expenses plans, we did not account for the possibility that participants might live in a distant region of Brazil or in another country, and that we would have to pay a much larger price to send the T-shirts and eco-bags to them. This happened with two of our participants, that live in the northern region of Brazil (approx. 4 thousand kilometers from where we sent the packages) and one of our speakers, that lives in the United States. Because of this, we paid more than the double planned for package shipments (and certainly would have paid more, in case we had more international participants, which was a very real possibility).
We also did not account for food vouchers for the participants and other forms of making sure people could more easily be participating in the events, such as financial assistance for editors that are parents, for example.
We weren't able to effectively use Google Workspace Essentials, because Google does not allow organizations in Brazil without a CNPJ (National Registry of Legal Entities) to use it. Due to that, we had to use a more limited version of Google Meet, though the event worked well without the more complex tools offered by Workspace Essentials.
- What would you do differently next time?
-We must think of a better way of predicting and covering the cost of shipment, specially if we want to make sure people from all over the portuguese-speaking territories participate in our events.
-We must come up with a better way of supporting our participants and making sure all interested are able to participate in the events.
-We need to set up lower expectations toward participation metrics.
