Part 1: Understanding your work

edit

Per the recent update on the Wikimedia Foundation Affiliates Strategy process, Wikimedia Affiliates that are General Support Fund grantees will fulfill their affiliate reporting requirements through their final or yearly grantee report.

If you are a Wikimedia Affiliate, you will use this form for your affiliate reporting and to address the affiliate health criteria. You do not need to submit a separate report to AffCom. Follow the guidance in the green boxes to report on how you met the corresponding affiliate health criteria.

If you are not a Wikimedia Affiliate, aligning your responses with the affiliate criteria is optional and not required.

1. Please share to what extent your programs, approaches, and strategies contributed to addressing the challenges you shared in your proposal. If they did not contribute as you believed they would, please share what obstacles you faced and what, if anything, you learned from them? (required)

For affiliates, use this space (Question 1.) to address Affiliate Health Criterion 1.1 (Goal delivery). Describe how you actively delivered on mission goals, e.g. content creation.

The strategies outlined in our original proposal proved largely effective in tackling the challenges we identified. By prioritizing community engagement, global outreach, and inclusivity, we achieved measurable growth in both the level of participation and the quality of content contributed from historically underrepresented communities. Specifically:

  • Inclusivity and Representation: We actively sought to involve underrepresented voices, including women and Indigenous community groups, which led to a diverse range of submissions and heightened focus on cultural heritage and gender equity.
  • Operational Challenges: Coordinating across multiple time zones and regions proved more difficult than anticipated. This complexity has prompted us to reconsider and refine our outreach and support structures for future campaigns.
  • Limited Funding Impact: Reduced financial support affected our ability to scale certain activities, such as fostering high-profile international partnerships and providing mini grants to communities. The cutbacks led to a 75% decrease in community events for Feminism and Folklore edit-a-thons. Despite these setbacks, volunteer enthusiasm and community spirit helped mitigate some of the challenges.
  • Local Partnerships and Regional Ambassadors: Our approach to cultivating local partnerships and appointing regional ambassadors was highly effective. By engaging with local groups, media outlets, and cultural institutions, we strengthened global participation, particularly in the ESEAP, SSA, and MENA regions.

Overall, while we encountered obstacles related to funding and logistical coordination, the positive outcomes in inclusivity, community engagement, and regional diversity have guided us toward more sustainable approaches for future initiatives.

2. Is there a plan to build on the key successes you had? If yes, please describe the plan and if no, please share the limitations to do so. For instance, did the activities lead to any new priorities, ideas for activities, or goals for the future? (required)

Yes, we intend to build on the successes of Wiki Loves Folklore 2024 by expanding both our community outreach and content development initiatives, as well as forging new partnerships. Specifically, we plan to:

  • Enhance Regional Support: To address the challenges of coordinating efforts across multiple time zones, we will strengthen our regional ambassador program. By providing targeted training and resources, local coordinators will be better equipped to manage logistical tasks and foster community growth.
  • Expand the Feminism and Folklore Initiative: We will continue growing this initiative through more frequent workshops, advocacy campaigns, and stronger engagement with cultural heritage organizations—especially in the MENA and SSA regions. Collaborating more closely with GLAM institutions will help us highlight a broader range of cultural narratives.
  • Improve Campaign Tools: Building on the success of the CampWiz and Article Generator tools, we plan to introduce more user-friendly features and refine their analytical capabilities. This will enable us to manage campaigns more effectively and leverage data-driven insights for future initiatives.
  • Maintain Year-Round Engagement: To sustain momentum beyond the contest period, we will adopt a year-round engagement strategy. By hosting smaller-scale events, ongoing advocacy workshops, and regular community check-ins, we aim to keep participants actively involved and continuously developing their skills.

3. Please provide a link to reports that detail the activities that took place in the last year. This can include an annual report, Meta pages, and websites. If there are no links available, briefly describe the implemented activities and programs below or upload any files. (required)

For affiliates, use this space (Question 3.) to address Affiliate Health Criteria 2.1 (Affiliate health & resilience), 4.1 (Internal engagement), 4.2 (Community connection), and 4.3 (Partnerships and collaboration):

  • Describe your activities engaging new users, new members for your decision-making body(ies), and developing leaders and organizers (2.1).
  • Describe your activities creating or hosting spaces to encourage greater collaboration and engagement among your members (4.1).
  • Describe how you engage with the contributing community that you serve and/or support (4.2).
  • Describe your partnerships with other affiliates or with non-Wikimedia entities (4.3).

4. Are you interested in sharing what you achieved or learned this year with the wider community through different peer learning programs (e.g. Let's Connect program, Diff)? (optional)

Yes. We are particularly interested in sharing insights related to the CampWiz Tool and the Article List Generator Tool, as well as our broader community engagement strategies and experiences with regional coordination. We believe these lessons can benefit the wider Wikimedia community by helping others learn from both our successes and the challenges we faced. We plan to disseminate our findings through Wikimedia Diff articles, advocacy meetings, and participation in Wikimedia-related conferences, where we can engage with peers, gather feedback, and identify community needs. Additionally, we will share our achievements and learnings via Diff blog posts, advocacy campaigns, and open office hours. Links to these resources are as below.

5. Did you collect feedback from your community or target groups on how the activities implemented impacted them? If yes, please attach/provide information on the results (e.g. community surveys, stories, impact booklets/reports, interviews with partner institutions, etc). Did you collect other impact-specific data? (required)

For affiliates, the response to Question 5. also partially addresses Affiliate Health Criteria 4.1 (Internal Engagement), 4.2 (Community Connection), or 4.3 (Partnerships & collaboration), where applicable.

Wiki Loves Folklore community Feedback Report 2024

Yes, we collected comprehensive feedback from our community members to assess how the activities implemented during the Wiki Loves Folklore 2024 campaign impacted them.

Community Feedback: A detailed survey gathered responses from participants, organisers, and jury members. The survey covered aspects such as communication effectiveness, organisational efficiency, inclusivity, content quality, and the fairness of the judging process.

Key Insights:

  • 70% of respondents reported a positive impact on their communities, highlighting increased awareness and documentation of cultural traditions; the remaining 30% were mostly views from newbies who are yet to collaborate in their local community in the coming year.
  • Participants appreciated the tools provided, such as CampWiz, which enhanced their contributions.
  • Suggestions for improvements included better pre-event communication, more interactive activities, and greater judging transparency.

Data Collection Methods:

  • Community surveys formed the backbone of our data collection.
  • Stories and testimonials were gathered from participants to provide qualitative insights.
  • An analysis of regional participation trends and engagement metrics was conducted to understand the campaign's reach and inclusivity.

Community feedback report

  • A detailed impact booklet is attached, providing a summary of key findings, participant feedback, testimonials, and recommendations for future campaigns.
  • Visual data representations and participant quotes are included to ensure the feedback is easy to understand and actionable.

This feedback has provided valuable insights into the campaign's successes and areas for growth, and it will guide the planning and execution of future initiatives.

6. During the fund period, did your efforts do any of the following? (required):

For affiliates, the response to Question 6. also partially addresses Affiliate Health Criterion 2.2 (Diversity balance).

  • 6.1 Bring in participants from the following groups: women, indigenous groups , speakers of minority languages, underrepresented geographical regions (ESEAP, LATAM, SSA, MENA, SA)
  • 6.2 Develop content about the following underrepresented topics or groups of people: women, indigenous groups, speakers of minority languages, underrepresented geographical regions (ESEAP, LATAM, SSA, MENA, SA)
  • 6.3 Support the retention of: Editors, Organizers, Partnerships

7. What, if any, effective tactics or approaches can you share that worked well when dealing with the programs under points 6.1-6.3 that you selected? (optional)

Several strategies proved highly effective in advancing our goals:

  • Cross-Organizational Partnershipsˇ: Collaborating with Wikimedia Affiliates and external media partners enhanced our campaign’s reach and visibility. These partnerships allowed us to engage communities across different geographical regions, creating a more robust and diverse contributor base.
  • Regional Ambassadors: Appointing regional ambassadors helped connect with underrepresented communities. As local liaisons, these ambassadors successfully raised awareness, facilitated involvement, and ensured that our outreach resonated culturally and linguistically.
  • Supporting Tools and Resources: Utilizing tools like CampWiz and the Article List Generator provided critical support for organizers, improving coordination and tracking contributions across various time zones. This technology-driven approach streamlined our processes and ensured more efficient campaign management.
  • Leadership Opportunities for Underrepresented Groups: Encouraging women and other underrepresented communities to assume leadership roles within the Feminism and Folklore and Wiki Loves Folklore campaigns fostered inclusivity. By promoting diverse voices in decision-making and coordination, we enriched the community experience and broadened the scope of cultural perspectives represented in the campaigns.

8. If you developed partnerships, which of the following factors most helped you to build partnerships? Please pick a MAXIMUM of the three most relevant factors (optional):

Institutional support from the Wikimedia Foundation, Volunteers from our communities, Partners proactive interest

Part 3: Skill Development / Capacity Building

edit

12. Reflecting on your programmatic (external) and organizational (internal) work, did your grant support you to undergo any skill development that made a difference to your success? If yes, what skill was developed, and how did it lead to success? (e.g. received coaching on public speaking, attended training on nonviolent communication, hosted professional development conversations on leadership, learned and used a new tool for project management, etc.)? Can you share any materials? (required)

For affiliates, use this space (Question 12.) to address Affiliate Health Criteria 2.2 (Diversity balance) and 3.1 (Diverse, Skilled, and Accountable Leadership):

  • Describe actions taken to prioritize gender balance in affiliate leadership, as well as any areas of diversity relevant to your affiliate's context (2.2).
  • Describe the management, financial, or other leadership skills of your affiliate leaders. If you have a succession plan, please include it here (3.1).
  • Describe any training or skill development (as outlined in the question above) (3.1).
  • Incorporate into the annual report a disclosure of conflict of interests (if any) from the leadership (3.1).
  1. Through our feminism and folklore campaign, we were able to provide the opportunity for emerging leaders, particularly women, to take on roles in organising and managing the Feminism and Folklore contests.

Yes. The grant facilitated capacity-building efforts that enhanced both our internal operations and our external program delivery. Key developments included:

  • Strengthening Organizational Structures: We trained regional ambassadors and event coordinators. This effort improved our internal coordination and allowed us to establish more resilient organizational frameworks.
  • Tool Development and Data-Driven Insights: Funding enabled us to invent the CampWiz tool and the Article List Generator, streamlining campaign management and offering valuable data insights. Notably, the CampWiz tool earned an honorable mention at the Coolest Tool Awards 2024 during Wikimania, reflecting its impact and value.
  • Leadership Opportunities for Underrepresented Groups: Through the Feminism and Folklore campaign, women and other emerging leaders gained opportunities to organize and manage contests. This not only enriched our skill base but also fostered a more inclusive leadership culture within the community.

13. What is one capacity/skill area that you would like to focus on for the next year? And how do you plan to achieve this capacity? (required)

We plan to focus on strengthening our partnership-building capacity. To achieve this, we will:

  • Develop a Structured Partnership Strategy: We will create clear guidelines and frameworks for identifying, approaching, and sustaining collaborations with both existing and new partners.
  • Team Training: We will provide targeted training on effective partnership management, ensuring our team is equipped with the communication and negotiation skills necessary to engage with diverse stakeholders.
  • Expanding Collaborations with Key Institutions: By forging deeper ties with GLAM institutions, cultural organizations, and other relevant entities, we aim to broaden our global network. This will help us enhance our campaigns, advocacy efforts, and social media outreach, ultimately increasing our overall impact.
  • Improving Incentives and Tools: In parallel with partnership development, we will work on increasing the value of prizes for contest winners and refining our internal tools. This includes developing new digital resources to streamline campaign operations and expanding the reach and effectiveness of our central notices and social media strategies.

14. If you have additional information or reflections that don’t fit into the above sections, please write them here. Use the space below to upload any additional documents that would be useful to understand your report.

For affiliates, also use this section (Question 14.) to address Affiliate Health Criteria 2.3 (Good governance & communication) and 3.3 (Universal Code of Conduct compliance).

  • Describe and link to any public-facing information on affiliate leadership, membership, elections, and/or decision-making processes (2.3).
  • Describe any activities incorporating, promoting awareness about, or enforcing the Universal Code of Conduct in your affiliate's activities (3.3).

We believe that the success of these two campaigns (Wiki Loves Folklore and Feminism and Folklore 2024) was not just about the number of participants and submissions. But it was also about empowering underrepresented voices and groups, especially women and indigenous people who would love to share their cultural heritage with the global community. You can view a summary of our advocacy meetings and discussions hereFor our future campaigns and programs, we look forward to expanding these efforts and ensuring that we continue to break down barriers to participation and also increase the diversity of content contributed to Wikimedia projects.
