Part 1 Understanding your work edit

1. Briefly describe how your proposed activities and strategies were implemented

Wiki Loves Earth is a photo competition on Commons. This year, we implemented its first round in Slovakia. It ran during the month of July. The main focus of the grant was to promote and support the competition. One of the ways to do that was to provide an option for the participants to claim the travel expenses to take photos of recognized natural monuments or ares. In order to motive competitors, we had prizes to be given out. We also provided office hours to answer any questions participants might have. We also intended to prepare a short video about how to contribute to Wikimedia Commons but did not have the time (as the grant was approved too close to the competition) and the capacity to actually do it.

2. Were there any strategies or approaches that you felt were effective in achieving your goals? Please describe these strategies and approaches.

One of the great helps was the support of Wikimedia Ukraine through their jury tool and a few organizational issues. One thing that did not work so well was the later-than-expected grant acceptance. We were resolved not to go ahead with WLE but then it came so we scrambled to get things moving. Our volunteer capacities were somewhat stretched. We were also hoping for more participants and more participants claiming their travel expenses. This might have been due to the under-worked advertising for which we did not have enough time. However, all things considered, we had 450 images submitted. One of the struggles was also to recruit a jury for the summer, having funds for this purpose would probably make this easier. We also planned to have a more user-friendly and updated database. However, the State Nature Conservancy of the Slovak Republic did not respond to our contact attempts.

4. To what extent do you agree with the following statements regarding the work carried out with the support of this Fund? You can choose “not applicable” if your work does not relate to these goals.

Our efforts during the Fund period have helped to...
A. Bring in participants from underrepresented groups Agree
B. Create a more inclusive and connected culture in our community Not applicable to your fund
C. Develop content about underrepresented topics/groups Not applicable to your fund
D. Develop content from underrepresented perspectives Not applicable to your fund
E. Encourage the retention of editors Neither agree nor disagree
F. Encourage the retention of organizers Agree

5. Is there anything else you would like to share about how your efforts helped to bring in participants and/or build out content, particularly for underrepresented groups?

In terms of the underrepresented groups, our focus was on the geographical. That is why we had the option for participants to claim their expenses but only three trips by two people were actually claimed.

Part 2: Your main learning edit

6. In your application, you outlined your learning priorities. What did you learn about these areas during this period?

We hoped to learn more about how to motivate people to participate. Our thinking was that compensating travel expenses would be a good motivator. We have not (yet) done a survey to tell us more about the motivations and de-motivations to participate.

7. Did anything unexpected or surprising happen when implementing your activities? This can include both positive and negative situations. What did you learn from those experiences?

One of the surprises was that people did not use the support provided, one of the reasons could have been that the campaign was run during the summer when many people already had their schedule scheduled.

8. How do you hope to use this learning? For instance, do you have any new priorities, ideas for activities, or goals for the future?

We put up a survey for the participants. Granted, it was a bit later than ideal but 4 people replied. They did not leave a lot of negative comments. We know that Wikipedia advertising worked. Next time we need to step up our fishing in other waters too. Next time, we should try for an even more qualitative understanding of the participants but we need to have special capacity for that. Maybe our goals should be less ambitious when proposing our activities.

9. Documentation of resources: Use this space to upload any documents that would be useful to share with others (e.g. communications material, training material, presentations).

Part 3: Metrics edit

10a. Open Metrics reporting

In your application, you defined some open metrics and targets (goals). You will see a table like the one below with your metric in the title and the target you set in your proposal automatically filled in. Use the tables to report the result. Use the comments column to describe any aspects of this result that you find relevant. If the results were different from the initial target (goals) then you can explain why and what you learned from this. You can also provide any qualitative analysis regarding these results. In the last column please describe the tools and methodology used to collect this data and any difficulties you might have had.

12. Did you have any difficulties collecting data to measure your results? This could include things like a lack of time or resources, or the expertise in your team to collect this data. It could also include difficulties with particular data collection tools.

Yes

12a. State what difficulties you had.

Lack of capacity to develop, distribute, evaluate and debrief from quantitative data.

12b. How do you hope to overcome these challenges in the future? Do you have any recommendations for the Foundation to support you in addressing these challenges?

Lack of capacity to develop, distribute, evaluate and debrief from quantitative data. Having more paid people to do this kind of thing would be helpful.

13. Use this space to upload any documents and provide links to any tools you have used that would be useful to understand your data collection (e.g., surveys you have carried out, communications material, training material, program and event dashboard link, project page on Meta).

14. Have you shared these results with other Wikimedian communities (either affiliates, user groups, volunteers, etc., different to yours)? This can include things such as data and direct outcomes, lessons you have learned, or information on how to run or recreate your programs.

Partially

14a. If yes or partially, please describe how you have already shared them and if you would like to do more sharing, and if so how.

We shared some of the outcomes through the landing page of the competition (https://sk.wikipedia.org/wiki/Wikipédia:Wiki_miluje_Zem), through our Facebook and in the annual report (https://meta.wikimedia.org/wiki/Wikimedians_of_Slovakia/Reports/2023/sk). We also posted the results on our website (https://wikimedia.sk/wiki-miluje-zem-2023) We also talked about WLE during our WMSK regular bi-weekly calls and took learnings from it.

As required in the fund agreement, please report any deviations from your fund proposal here. Note that, among other things, any changes must be consistent with our WMF mission, must be for charitable purposes as defined in the grant agreement, and must otherwise comply with the grant agreement.

17c. If you have not already done so in your budget report, please provide information on changes in the budget in relation to your original proposal.

We rescheduled the office hours: instead of 5 we had 4, one per week. Another item that had to be shortened is the number of winners. Another budget item was underspent due to lower than predicted interest from the participants. Out of the 250 (figures in euros) for travel support, only 37.40 was actually claimed.

18. Do you have any unspent funds from the Fund?

Yes

18a. Please list the amount and currency you did not use and explain why.

We were not able to spend some of the amounts due to insufficient time: this was the video-making proposal that we had originally as well as the promotion and advertising.

18b. What are you planning to do with the underspent funds?

A. Propose to use the underspent funds within this Fund period with PO approval

18c. Please provide details of hope to spend these funds.

- cca 153 euros to pay for the food at the Strategy Meeting (another WMF grant)

  • 120 euros for the UG seat (10 euros a month)
  • 100 euros for the notary that verified our application for 2% from income tax program
  • cca 15 euros to mail a CEE Spring editor appreciation package
  • the rest, cca 115 euros for Wiki Asian Month contributors

19. Are you in compliance with the terms outlined in the fund agreement?

21. Are you in compliance with provisions of the United States Internal Revenue Code (“Code”), and with relevant tax laws and regulations restricting the use of the Funds as outlined in the grant agreement? In summary, this is to confirm that the funds were used in alignment with the WMF mission and for charitable/nonprofit/educational purposes.

Yes

22. If you have additional recommendations or reflections that don’t fit into the above sections, please write them here.

Thank you for the grant.
