Part 1: Project and impact edit

1. Describe the implemented activities and results achieved. Additionally, share which approaches were most effective in supporting you to achieve the results. (required)

The activity of this grant was an in-person meeting of key Wikimedia Slovensko volunteers. We have not met since before the corona virus. As with other Wikimedia experiences, an in-person meeting is irreplaceable in boosting the morale of a group, strengthening its ties and getting stuff and conversations done.

2. Documentation of your impact. Please use space below to share links that help tell your story, impact, and evaluation. (required)

Share links to:

  • Project page on Meta-Wiki or any other Wikimedia project
  • Dashboards and tools that you used to track contributions
  • Some photos or videos from your event. Remember to share access.

You can also share links to:

  • Important social media posts
  • Surveys and their results
  • Infographics and sound files
  • Examples of content edited on Wikimedia projects

Contributions to Wikimedia projects were not goal of this meeting though a few happened. Most of the results were internal: brainstorming of plans, discussing capacities, interests, etc. These will become the basis of the upcoming annual general meeting where the plans for the upcoming year will solidify. Pictures are available in the appropriate category: https://commons.wikimedia.org/wiki/Category:Fall_Strategic_Meeting_of_Wikimedia_Slovakia We shared some of the outcomes on our website: https://wikimedia.sk/osobne-stretnutie-wikimedia-slovensko-v-novembri-2023/ We also shared in the January CEE Newsletter: https://meta.wikimedia.org/wiki/CEE/Newsletter/August-November_2023

Additionally, share the materials and resources that you used in the implementation of your project. (required)

For example:

  • Training materials and guides
  • Presentations and slides
  • Work processes and plans
  • Any other materials your team has created or adapted and can be shared with others

Most of the preparation work was done during the bi-weekly online meetings that we have, through emails and conversations. There were no slides and presentations. Matej, the leader, had a list of topics and questions that we prepared and then went through.

3. To what extent do you agree with the following statements regarding the work carried out with this Rapid Fund? You can choose “not applicable” if your work does not relate to these goals. Required. Select one option per question. (required)

Part 2: Learning edit

4. In your application, you outlined some learning questions. What did you learn from these learning questions when you implemented your project? How do you hope to use this learnings in the future? You can recall these learning questions below. (required)

You can recall these learning questions below: We hope to learn more about ourselves and use that knowledge to define our direction and goals into the future. Questions include: What has (not) worked in the past? What can work in the future? Should we change our governance model? What (other) ways of fundraising can we count on? What (types of) partnerships should we explore?

The learning goals were successful for the most part. We did learn more about ourselves, our capacities, goals and so on. These define the direction of the group into the future, our partnerships and projects. We talked quite a bit about a possible change in the governance model where we would change from the executive chair to a board (with a chair) and an executive director. This will get us in line with most of the movement organizations. Those present accepted this change in principle but we need to iron it out still. The previous model worked but the new model is required in order to grow further. We did not have as much opportunity to talk about the fundraising as we had hoped, we also realized it would be more productive to do specific research rather than speak about directions.

5. Did anything unexpected or surprising happen when implementing your activities? This can include both positive and negative situations. What did you learn from those experiences? (required)

No, not really.

6. What is your plan to share your project learnings and results with other community members? If you have already done it, describe how. (required)

The core members of our small WMSK team were there at the meeting. With the others: we have a folder with the notes we took. Some stuff plans and results we shared in the bi-weekly calls and the other plans will be shared prior to the annual general meeting.

12.2. If you have not already done so in your financial spending report, please provide information on changes in the budget in relation to your original proposal. (optional)

The original grant was set to 675€. We did not account for food on location which turned out to cost 143.51€ so we asked to move 143.51€ from another grant. This was granted by the Foundation. However, there was a miscalculation (underreporting) in the transportation costs of 3.45€ (which is now included in the budget) as well as including the contingency of 60€ in the total spent. That means we underspent 56,55€.
