ESEAP Hub/Interim Committee Meetings/11 June 2023

The ESEAP Hub Interim Committee started its more detailed mapping according to previous discussions and has moved into drafting the theory of change and the grant plan for the first year. The timeline has also been updated according to the status quo. Interim Committee members reported back their findings on fiscal sponsor options and will continue further research for some specific locations.

Election planning and the relation regarding the temporary mandate that the Interim Committee is having is one of the main topics of this meeting. The Interim Committee shared the view that the next community meeting in July will be key for regional discussion on the next steps - as it relates to having a practical way for sustaining the efforts the Interim Committee has been making on the grant application and the work plan, election, as well as ESEAP Summit/Track during Wikimania pre-conference days.

The Interim Committee is currently working on the following things:

  • Drafting the theory of change for the ESEAP Hub based on existing discussions and outcomes
  • Drafting their Movement Strategy Implementation Grant proposal
  • Drafting a one-pager as a supporting document to expand the details in the roles and responsibilities document regarding the election
  • Planning for the 2023 ESEAP Summit/Track during Wikimania pre-conference days

Decisions

  • There is a consensus among the Interim Committee members that the grant proposal should be sent only after Wikimania, once there is a chance to gather wider community inputs; this will be carried out by the existing committee members should the mandate of the committee be extended, or through other ways depending on the outcome of community’s feedback.
  • There is also a consensus among the Interim Committee members that the election should happen after Wikimania, not during the time of Wikimania. Details of the election still need to be agreed on.
  • Based on the practical timeline and current status quo, the Interim Committee decided to put forward a plan to request an extension of its current mandate to the ESEAP community, to be presented and discussed at the 9th July community meeting.
  • Based on existing discussions and research, practical fiscal options being discussed by Committee members today are Wikimedia Indonesia, Wikimedia Taiwan, as well as Singapore. The Interim Committee agreed that further research and assessment should be done for these locations, and there was no conclusion that this is the exhaustive list and members are not in agreement of which location should be the fiscal sponsor.
